Holiday Mailing Intern

Position Overview: We are seeking a highly organized and detail-oriented Holiday Mailing intern

 

to join our team. As a Holiday Mailing intern, you will learn practical skills to inventory different

 

things, work on the different lists in the Salesforce, help the Holiday Mailing consultant to prepare

 

the holiday mailing gifts for national and international delivery.

 

Key Responsibilities:

 

As a research intern, you will play a crucial role in supporting the Executive Office (EO) and

 

contributing to various tasks. Your responsibilities will include:

 

1. Coordinate Gift Selection:
  • Assist in selecting appropriate holiday gifts for clients, partners, and employees.
  • Collaborate with the team to finalize the gift list and quantities.
2. Manage Inventory:
  • Keep track of the inventory of gifts to ensure sufficient stock.
  • Organize and maintain a detailed inventory list.
3. Prepare Mailing Lists:
  • Compile and verify mailing addresses for all recipients.
  • Ensure accuracy and completeness of mailing information.

 

4. Package Gifts:
  • Wrap and package gifts attractively and securely.
  • Include personalized notes or cards with each gift, as required.

 

5. Arrange Shipments:
  • Coordinate with the holiday mailing consultant and assist with the shipping services to schedule timely delivery of gifts.
  • Update the tracking sheet and provide progress updates on daily basis to the holiday mailing consultant.
6. Maintain Records:
  • Document all shipments and maintain a log of sent gifts.
  • Keep records of costs associated with the holiday gift mailing project.
7. Provide Support:
  • Assist with any additional tasks related to the holiday gift mailing project.
  • Work closely with the Executive Office team to ensure smooth execution of the project.
8. Report Progress:
  • Regularly update the team on the status of the project.
  • Provide reports on completed tasks and any challenges encountered.
9. Teamwork: Collaborate with Executive Office for effective communications and

maintaining positive relationships with other cross functional teams.

Qualifications

 

Education:
  • Currently enrolled in a college or university program, preferably in management, communications, marketing, or a related field.

Organizational Skills:

  • Strong organizational and time management skills.
  • Ability to handle multiple tasks and meet deadlines.
Attention to Detail:
  • High level of accuracy and attention to detail.
  • Ability to ensure mailing information and inventory records are precise.
Communication Skills:
  • Excellent written and verbal communication skills.
  • Ability to interact professionally with team members and external contacts.
Problem-Solving Skills:
  • Ability to troubleshoot issues that arise with shipments or inventory.
  • Proactive in finding solutions and making decisions.
Team Player:
  • Ability to work effectively as part of a team.
  • Willingness to collaborate and take direction from team members.
Technical Proficiency:
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with inventory management systems is a plus.
Flexibility:
  • Willingness to adapt to changing priorities and tasks.
  • Ability to work extended hours if necessary during peak holiday season.
Work Ethic:
  • Reliable, punctual, and committed to completing tasks.
  • Self-motivated and able to work independently when necessary
Physical Stamina:
  • Ability to lift and move packages as needed.
  • Comfort with standing and moving around for extended periods during packaging and shipping.
