This role is a fixed term contract for 12 months (maternity leave cover).
Main purpose of the role
As part of the Reward and People Operations team, you will be responsible for supporting on the delivery of the People Operations activities, providing a high quality, proactive and efficient generalist HR service including advice and guidance and assisting in resolving HR queries to employees and teams. You will work closely with all members of the Reward and People Operations and wider HR team to deliver a professional, efficient and customer focused service across the global CIFF organisation. The role reports to the Global Head of Reward and People Operations and works alongside a Senior Advisor, People Operations.
Requirements
HR Operations and Support – Employee Lifecycle
- Responsible for proactively dealing with day-to-day queries at all levels from various sources including a joint mailbox for operations queries, ensuring that CIFFs policies and procedures are followed, escalating as necessary to the Senior Advisor or other members of the Reward and People Operations team.
- Maintain a thorough understanding of HR processes and as appropriate, policies, to support your role as first point of contact for queries, escalating as appropriate.
- Support in the updating paperwork relating to the People Operations team, making recommendations as appropriate.
- Working closely with the Senior Advisor, Operations, supporting the HR Business Partners and HR Assistants with guidance on policy or process.
- Responsible for ensuring all data compliance issues are met which includes compliance with data validation, right to work checks, HR document retention.
- Complete all reference requests and submit the DBS applications, liaising directly with third parties as necessary and escalating to the Senior Advisor or other member of the Reward and People Operations team as appropriate.
- Working closely with the Senior Advisor, People Operations, support in aspects of the consultancy process, processing paperwork through DocuSign, keeping track of consultants.
- Standard letter production, including employment verification, former employee reference letters and contract amendments.
- Ownership for tracking, drafting, distributing and recording the management of processes to include, probation, fixed term contracts, documentation return and service anniversaries.
- Maintain strong and robust filing systems in compliance with CIFFs HR retention policy.
- Responsible for drafting and the issue of standard documentation related to the employee lifecycle (including new starters and leavers).
- Ongoing maintenance of the CIFF website for any relevant changes.
- Collate all relevant new joiner information and forms and support in ensuring staff are set up on relevant systems.
- Arrangement of relevant onboarding and induction schedules.
- Processing of invoices for the People Operations team.
Systems and Reporting
- Support in keeping the HR Information System up to date, reviewing and updating as appropriate.
- Responsibility for support to members of the HR team with any queries and resolving employee queries related to the system.
Additional Tasks / Projects
- Support in other ad hoc HR tasks as appropriate
Membership of the team
- This role does not hold line management responsibility, but we expect all employees to demonstrate good leadership behaviours; this includes adopting a coaching approach with colleagues to help build skills, confidence and capability in particular areas, processes or procedures.
- As required, support on the planning and coordination of inductions for new joiners to the team.
- Provide support and cover within the team as required.
Benefits
The starting salary for this role is GBP 26,400.
