Job Purpose

 

This position will provide general administration and support services in the implementation and coordination of HR & OD activities, mainly in the Workforce Resourcing and Compensation & Benefits Units. Ensure timely and accurate response to basic stakeholder inquiries, issues and concerns related to associate engagement, staff onboarding, staff contract and benefit processing, and on-the-job training program. Ensure proper documentation and accuracy of all reports and other HR-related data.

This position will be based at the IRRI Headquarters, Los Baños, Philippines and may only be filled by permanent citizens of the Philippines.

 

Roles and Responsibilities

 

  • Provide a comprehensive administrative service for the HR & OD functions including but not exclusively in: Workforce Resourcing and Compensation & Benefits units
  • Document and maintain HR-related information and extract reports, ensuring information is accurate and updated
  • Facilitate onboarding of interns and newly-hired HQ-based national staff ensuring proper documents and requirements are submitted prior joining date
  • Manage and oversee the common repository of documents of the HR units
  • Provide logistical support on resourcing activities
  • Provide support to the Compensation & Benefits unit in the processing, monitoring, and coordination related to employee government-mandated benefits (SSS, Philhealth, Pag-IBIG, etc.) and third-party vendor transactions
  • Assist in the administration of the benefits for NRS, i.e. medical and life insurance, including settlement of billings
  • Act as the point of contact for all issues and concerns of newly hired candidates/associates/OJTs for onboarding requirements and documents
  • Work closely with Finance to process payments of associates, staff benefit claims and medical insurance billings
  • Work alongside the HR Advisors and Business Partners to continuously seek ways to improve existing HR processes and programs through the use of technology
  • Coordinate with external clients, Philippine-based government offices and stakeholders to ensure smooth HR transactions (e.g. SSS, PAGIBIG, PhilHealth, medical insurance reimbursements, supplier and vendor invoice processing & payment, school and university coordination for OJTs, etc.)
  • Process payment requests from internal and external clients in a timely manner
  • Responsible for the uploading and maintenance of the Individual Personnel Folder (IPF) at the Headquarters
  • Prepare reports on HR-related data and ensure that information gathered are made available for reference of HR Senior Leadership Team
  • Identify issues with HR data management and recommend approaches to increase efficiency and accuracy of information
  • Facilitate distribution of medical reimbursements of staff and preparation of invoices related to the medical insurance
  • Timely delivery and completion of third-party and government-related transactions

 

Qualifications

 

  • Bachelor’s degree in Human Resources, Psychology, Business Administration or related field with at least 1 year relevant experience in HR transactions related to recruitment and compensation & benefits
