BACKGROUND

TRAFFIC International is a charity and limited company registered in the UK. TRAFFIC’s head office, based in Cambridge UK, provides worldwide leadership, coordination, cross-regional and corporate functions. TRAFFIC’s local engagement is managed through programme offices operating under the auspices of the UK charity, with staff based in a hub office and at other strategic locations where necessary. Programme offices operate within a geographic area of responsibility focused on one or multiple countries where TRAFFIC aims to help deliver priority programme outcomes. TRAFFIC works in strategic alliance with IUCN and WWF on wildlife trade issues.

The salary for this position is £23,000p.a.

JOB DESCRIPTION

CHARACTERISTIC DUTIES
The HR and Office Administrator role will provide administrative support to the Human Resources (HR) team within TRAFFIC reporting directly to the Director – Global HR. The role will be embedded in the HR team and will provide support on areas such as recruitment, remuneration, development and policy, for the TRAFFIC staff in the UK and occasionally supporting IUCN staff and overseas TRAFFIC staff.

The role will also be responsible for providing support to the Office Management Function of the UK office and providing cover for the Officer Manager during absences.

SPECIFIC DUTIES

HR DUTIES (70%)

• Responsible for supporting the HR team in drafting employment, volunteer and consultancy contracts as required.
• Ensuring that employment documentation is drafted, signed and filed in the relevant locations to ensure legal compliance as requested.
• Supporting updates to HR policies periodically with reference to legal changes and in consultation with management.
• Supports administration related to monthly payroll collation and pension upload, ensuring that new starters are set up on the payroll and pension.
• Providing administrative assistance to ensure smooth running of organisational pension scheme and organisational insurance schemes and other staff benefits such as salary sacrifice schemes.
• Provides administrative support to staff in the relation to payroll and pension questions.
• Provides support for the recruitment process from vacancy announcement to job offer for junior positions based in the UK, ensuring all HR procedures are adhered to. Supports managers with candidate selection, organising and undertaking interviews and communicating with candidates.
• Liaises with line managers to ensure that terms of reference are in place for all positions across TRAFFIC.
• Assisting Director of HR with the coordination, implementation and record keeping of training and courses, including the issuing of internal training agreements.
• Supporting the induction of new starters including coordinating schedules and ensuring all documentation collected as needed for HR purposes.
• Ensures all HR filing is kept up to date in the relevant folders.
• Ensures that the HR database is kept up to date with contractual information, leave information and absence information.

OFFICE DUTIES (30%)
• Provides cover for the Office Manager during absences by monitoring the general enquiries inbox, managing any incoming and outgoing post and dealing with staff requests that cannot wait.
• Ensures that staff lists, are regularly updated in particular for new starters and leavers and available for staff to access online
• Liaising with the Office Manager and supporting any stationery that needs to be ordered for the office
• Provides support during large meetings by assisting with drinks/catering provisions, setting up and tidying up of meeting rooms and being trained as an AV user in the meeting rooms to be called upon if needed.
• Assisting the Office Manager by providing guidance to staff on facilities within the building, how to book meeting rooms and the Call zone etc.
• Any other administrative duties as instructed by the Director of HR

REQUIREMENTS
• Experience working in an administrative role within an office environment.
• HR administration experience with ideally a suitable qualification to support knowledge.
• Strong and accurate writing skills in English with experience drafting letters and/or contracts and an eye for detail.
• Experience working with payroll and pension systems would be an advantage.
• The ability to communicate fairly, clearly and concisely to provide advice and guidance to staff when required
• Experience working within a team, the ability to work to tight deadlines and manage your own workload.
• Must be approachable, friendly and open minded about different cultures and ways of working and be comfortable multi-tasking with a turn your hand to anything attitude.
• Must demonstrate a flexible working attitude and be prepare to be in the office a minimum of 60% of the working week with the occasional need to be in 100% depending on circumstances.
• Proficient in Office applications (Word, Excel, Powerpoint etc.)
