Contract Information

The is a 12-month fixed term contract with the possibility of further extension subject to availability of funding. This post is limited to local status* only. *Local status requires applicants to have unhindered permission to live and work in the UK.This advertisement is for 2 posts (37.5hrs per week and 30hrs per week)

Salary Information

Approximately £38,819 net per annum, (subject to deductions), free of income tax in the UK. Excellent benefits including medical insurance and UN pension scheme

Purpose

Under the overall supervision of the Head, Human Resources Services and direct supervision of the Senior HR Officer (Recruitment and Staff Development) and in close coordination with the HR Officer, the incumbent will have responsibility for coordinating activities related to recruitment, learning, performance management and other HR projects

Duties and Responsibilities

Recruitment• Execute the full recruitment and selection cycle for project vacancies, including preparation of job descriptions, adverts, longlisting, coordinating assessments, interviews and onboarding. Conduct interviews and feedback for administrative roles.• Collaborate and coordinate with key stakeholders in the preparation, publication and dissemination of vacancies, including liaising with external networks for advertising.• Track progress of vacancies, prepare status reports and update hiring managers/stakeholders. • Support the roll out of e-Recruitment updates; testing and collecting feedback from stakeholders. Focal point for e-Recruitment queries and support for internal and external applicants.• Provide advice and solutions to hiring managers on all stages of the recruitment process, including design of guidance documents.• Assist with the development of proactive recruitment strategies for future business needs and internal mobility.• Execute the recruitment of consultants, including preparation of consultancy contracts, coordinating with hiring managers. Tracks the progress of recruitment, and updates hiring managers and consultants on necessary actions.• Provide support to the Advisory Panel on the Coordination of Technical Cooperation Activities for the recruitment of consultants and coordinate and consolidate associated documentation.Learning and Development• Assist in the design and updates of the learning and development plans, including coordination of tender processes and learning needs analysis. Research latest innovations in learning design and delivery. Keep up to date with key priorities of the Organization.• Coordinate with learning providers, managing the online registration tool/learning management system. • Provide coordination support in the delivery of learning interventions (face-to-face/ hybrid).• Assist with the development of promotional communications. Prepare feedback and evaluation reports.• Support the planning, analysis and monitoring of learning funds. • Assist with IMO staff induction activities. Performance management• Support the performance management process, providing advice & collating completion data.• Provide input into the development and updates of HR policies and procedures by analysing feedback, requests and current trends in the external environment. • Assist with the design and delivery of key HR projects, such as adoption of new systems, processes and procedures.• Monitor key performance indicators (KPIs) and Service Level Agreements (SLAs) ensuring completion of tasks within established time frames; proactively identifying potential risks.Communications and outreach• Assist in developing and disseminating HR guidance (standard operating procedures). Update documentation and relevant webpages (internal and external).• Keep IMO Career Pages up to date, develop promotional materials for HR campaigns. • Support the diversity initiatives of the OrganizationMonitoring and reporting• Prepare quarterly workforce planning reports, recruitment status and key metrics reports. Provide analysis and recommendations. • Prepare reports related to performance management and learning and development• Prepare other statistical reports and data as required.General• Provide other administrative and coordination support as may be required

Required Competencies

Experience

At least six years of progressive and relevant experience in coordinating activities across the full recruitment cycle and advising on HR policies is essential. Experience in data analysis and reporting is essential. Experience in coordinating learning and performance management activities and contributing to business process improvements would be highly desirable. Experience in an international setting would be an asset

Education

Secondary education or equivalent to university entrance standard. A qualification or certification in human resources (e.g. CIPD) would be an asset

Language Skills

Proficiency in English (both oral and written), including ability to draft clearly and concisely is essential. Working knowledge of any other official UN language would be an asset

Others

Experience in drafting contracts, or HR guidance/ correspondence is essential. Proficiency with MS Office tools, especially Word, Excel and PowerPoint is essential. Working knowledge of an e-recruitment or Enterprise Resource Planning system (ERP) e.g. SAP would be an advantage
