JOB PURPOSE

Providing a comprehensive, collaborative support that ensures an efficient running of human rights education (HRE) projects in the MENA region and smooth communication within the HRE team. Ensuring the efficient operational support including but not limited to: diary management, travel and accommodation booking and expenses processing, servicing of regular meetings and workshops, financial processing, facilitating communication and collaboration with other teams and functions across MENA Regional Office and other global teams as needed, and assist in budget forecasting and management and specific tasks relevant to designing and delivering HRE plans and activities including supporting monitoring, evaluation and reporting and HRE promotion and communications over social media.

ABOUT YOU

You will have experience in providing administrative support to a busy team, including event planning and diary management. You will have a good working knowledge of technology systems including Microsoft Outlook, Sharepoint, and Office packages, and a willingness to learn management of communications and information over other systems.

You will have excellent communication skills, with fluency in both Arabic and English, and fluency in French is desirable.

MAIN RESPONSIBILITIES

  • Provide administrative support to the Regional HRE team including managing files, records and other information retrieval and sharing systems including Microsoft sharepoint.
  • Provide first point of contact and a professional welcome in particular for Amnesty Human Rights Academy users and alumni, online or offline communities ensuring clear communication and prompt response or routing queries to the appropriate destinations.
  • Support the development of human rights education materials including drafting, formatting, editing/proof-reading, coordinating translation with relevant team, distribution and promotion of HRE, including through social media and supporter journeys emails.
  • Facilitate the organisation of local and regional HRE meetings, online/remote or offline events, including processing invoices/expenses, identifying venues and making logistic and travel arrangements and keeping minutes and reporting.
  • Assist with implementing the M&E system by ensuring collection and entry of Data and supporting the M&E scale up and reporting to ensure that programs and projects meet quality standard and realise desired impact

SKILLS AND EXPERIENCE

  • Passion and experience in accompanying participants/ learners (Customer relationship management) in their learning journey in Amnesty.
  • Experience in organising workshops, conferences and trainings (venue, visas, correspondence with participants…).
  • Ability to draft invitations, correspondence and other documents on behalf of line manager or team.
  • Experience of setting up and maintaining hard and soft information storage, retrieval and communication systems.
  • Ability to communicate clearly in Arabic and English, French desirable – verbally and in writing, face to face, by email and over the telephone.
