THE EXECUTIVE DIRECTORATE (EXD)

The Executive Directorate (EXD) is the steward of OECD resources, on behalf of the Secretary-General. Our focus is on people and their wellbeing; the effective and efficient management of the budget; the safety and security of staff, Delegations, visitors, and of the OECD’s data; maintaining and sustaining physical and digital infrastructure; and enabling the convening power of the OECD through conferences, meetings and events, whether virtual, physical or hybrid. As well as providing corporate services, functions and management support to our staff and Members, we provide integrated, strategic and expert advice on corporate policies and management issues to the Secretary-General, to Council and to Standing Committees, to which we regularly report on corporate matters. We also provide risk management functions (for management areas under our purview). Ours is a fast-paced environment focused on delivering management excellence across all our functions.

THE CONFERENCE, SECURITY AND INFRASTRUCTURE SERVICE (EXD/CSI)

Within the OECD’s Executive Directorate (EXD), the Conference, Security and Infrastructure Service (EXD/CSI) is responsible for facilitating conferences that bring together delegates from our 38 Member countries, key partners and other stakeholders, for language services (interpretation and translation), for safety and fire security of OECD staff, delegates and visitors, and for the management and operation of OECD buildings in Paris and OECD Centres abroad.

THE POSITION

EXD/CSI is looking for a motivated Human Resources Assistant to join our dynamic team and support the service’s operational human resources for approximately 180 staff as well as contributing to recruitments and undertaking a range of administrative tasks. The selected candidate will report to CSI’s HR lead and will work closely with colleagues across CSI and in collaboration with the OECD’s central human resources team.

Job Description

Main Responsibilities

Human Resources Support

  • Provide support for recruitments within EXD/CSI including proof-reading job descriptions and related screening questions, assisting with candidate screening, scheduling written tests/video assessments and panel interviews, while ensuring clear communications with candidates through all stages of the recruitment process.
  • Provide support with administrative actions linked to staff contracts and update internal tracking tables.
  • Provide support with the OECD’s annual performance management process.
  • Provide support with onboarding formalities for EXD/CSI new staff members.
  • Assist with filing and archiving within EXD/CSI.
  • Contribute to the effective management and administration of CSI’s human resources and implementation of policies governing staff, in line with OECD staff rules and regulations.

HR Communication support

  • Provide support with HR-related email communications including staff inquiries and responses, ensuring timely follow-up.
  • Support communication efforts for staff engagement initiatives, such as well-being initatives, or onboarding sessions.

Other duties

  • Assist with other administrative tasks across EXD/CSI as necessary and provide back-up to colleagues as needed.

Qualifications

Ideal Candidate Profile

Academic Background

  • Secondary level of education, preferably in in business or public administration.
  • University degree in human resources management, or a closely related field, or equivalent experience would be an advantage.

Professional Background

  • Proven experience in HR administration and/or general administration in a multicultural environment, preferably gained in an international organisation.
  • Knowledge of the structure, processes, regulations and administrative systems of an international organisation would be an advantage.

Tools

  • Very good command of Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
  • Good level of experience in using human resource management applications such as SmartRecruiters or other ATS software, or the ability to quickly master the use of such applications.

Languages

  • Fluency in one of the two OECD official languages (English and French) and a knowledge of, or a willingness to learn, the other.

Contract Duration

  • Six months temporary assignment, with the possibility of renewal.

Salary Information

Salary and conditions will depend on the experience of the selected candidate as well as on her/his status (temporary staff or official). Temporary staff salary is 2,570 EUR/month gross.

Selection Process

For retained candidates, the interviews will take place as soon as possible.

Please note that our Rules and Regulations stipulate that the mandatory retirement age is 67.
