Org. Setting and Reporting
This position is located in the Department for General Assembly and Conference Management (DGACM) in New York. Information Management Assistant reports to the gDoc Project Manager.
Responsibilities
Within delegated authority, the Information Management Assistant will be responsible for the following duties:
To effectively perform the Help Desk duties under the guidance of the project manager.
o To monitor all incoming issues as received by the support email account;
o To acknowledge and screen the received issues;
o To work on the DevOps dashboard following the SOP established by the project manager;
o To communicate with the project manager, IT coordinator and development team regarding specific issues, providing details and making suggestions;
o To notify the user of the issues that have been resolved/closed as instructed by the project manager;
To effectively perform the duties of a quality assurance tester under the guidance of the project manager/IT coordinator.
o To make oneself fully knowledgeable of the systems;
o To perform the user QA testing in the testing environment;
o To provide feedback to the developer with additional information that may be useful in finding a solution;
o To perform additional tests as required, in order to ensure that the fix is working properly.
To assist the project manager in the development of the system.
o To assist the collection of user feedback and suggestions;
o To assist maintaining and updating project documentation;
o To Assist project manager’s meetings with the focal points;
o To assist maintaining issue and other records;
o To assist the training and promotion of the new system.
Archives and Records Management
• Facilitates the periodic transfer of scheduled records into the Archives by liaising with Secretariat and overseas offices; ensures the completeness and accuracy of transfer documentation; and provides assistance to Secretariat staff in transfer preparations.
• Coordinates access and declassification reviews by screening records for security-classified materials, preparing declassification review requests and updating Section database.
Documents
• Performs research and document delivery services using a range of specialized commercial databases in addition to standard sources and databases.
• Orders and ensures shipment of documents, reference materials, stationery and necessary equipment to various sites.
• Maintains statistics on service and workload measures.
General
• Guides and supervises more junior General Service Staff.
• Provides administrative support for the gDoc project manager and undertakes other duties as assigned.

Education
High school diploma or equivalent.
Work Experience
Seven years of experience in front desk environment, help desk or related area is required.
Experience working in an international organization is required.
Experience in using a global documents management system, such as gDoc and Contractor Management Application (CMA), is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is desirable.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
Special Notice
This position is temporarily available for 364 days.
If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.
