Job Summary

The IMF Secretary’s Department is looking for an experienced project manager with conference management expertise to work in its Institutional Events Division. The Division is responsible for planning and organizing many institutional events and conferences including the Spring and Annual Meetings of the IMF. Under the general supervision of the Chief of the Institutional Events division, Secretary’s Department (SECIE), the selected candidate will help plan and implement the Spring and Annual Meetings conferences with a special focus on identifying the project scope, keeping track of timeline and key deliverables, managing constraints and risks, and ensuring effective communications across different teams. The candidate will oversee operations of select work streams, focusing on service delivery and process improvement. The candidate will also design high level events and programs to support Fund initiatives, with a view towards bringing innovation in design, format and scope of specific institutional events.

Duties and Responsibilities

  • Leverages project management tools and knowledge to help with the delivery of large-scale conferences including the Spring and Annual Meetings. Collaborate with cross-functional project teams and high-level clients including government officials.
  • Manages select work programs, identifying the scope, managing risks and delivery timeline and keeping teams informed and on track with a view towards improving efficiency and streamlining processes.
  • Manages operation of select work streams post implementation, documents and standardizes the process(es), and seeks continuous improvement.
  • Manages procurement process and service delivery, including conducting market research, developing RFPs, contract negotiation, vendor management and ensures stakeholders’ needs are met.
  • Prepares briefing material, remarks and speeches for management and senior staff and promotional communications for use in publicity campaigns for Washington and overseas Meetings.
  • Designs, manages, and executes surveys amongst stakeholders to improve the content and services of the Spring and Annual Meetings and/or other divisional programs.
  • Coordinates the work of junior staff in the division in managing the work above.

Qualifications

In addition to what is set forth in the Job Standards, the candidates should have the following qualifications:

  • Proven experience managing large scale projects including conferences and/or cross-functional initiatives with team leadership experience. A PMP and/or CMP certification is a plus.
  • Strategic planning of programs and initiatives that highlight and promote the work and message of the organization and address interests of the stakeholders.
  • Experienced with managing operations and delivering services, with a strong drive for results.
  • Proven procurement and vendor management experience, including drafting RFPs, evaluating vendors on technical and financial criteria, drafting and negotiating contracts.
  • Experience in directing programs to maintain favorable public and stakeholder views of the organization agenda and accomplishments. Candidates should have experience communicating to multicultural, international audiences.
  • Strong interpersonal skills. Can multi-task and work under high pressure and tight deadlines.

Education and Work Experience

Advanced university degree in management, project management, operations, conference management, technologies, or related field of study or equivalent, plus a minimum of four years of relevant professional experience; or a bachelor’s degree in in management, project management, operations, conference management, technologies, or related field of study plus a minimum of 10 years of relevant professional experience, is required. Relevant experience in project management and/or large-scale international conference management.

This is a 2-year contractual position. Contractual appointments at the IMF are renewable for up to four years of cumulative contractual service, pending incumbent’s performance, budget availability, and continuous business need.
