About the Program

We offer internships lasting between 3 and 10 months. Our internship opportunities may commence at any point during the calendar year.

Before starting your internship with us, you will have to obtain a security clearance thus we remain flexible on potential start dates. Our helpful security teams will support you with this clearance process.

During this program you will join and support different teams and simultaneously learn from our business experts via on-the-job training and shadowing.

About the Internship

Internship duration: 6 months

Location: Braine l’Alleud, Belgium

It’s impossible to be everywhere you need to be, all at once, when you’re planning and hosting a professional conference, workshop, or meeting. That is why the NCIA Conference Services Management team works diligently behind the scenes to plan and manage the NCIA’s in-person events. We know the questions to ask, can work within the confined budget, and are accomplished at every aspect of meeting and event management from planning, to online registration (including collecting fees via credit cards).

The Conference Services team manages the execution of NCIA meetings, including badge distribution and processing onsite registration, technical session management, and of course, facility coordination.

As an Intern – Conference Coordinator, you will:

  • Prepare and distribute information packages for conference attendees
  • Assist with the development of registration sites for in-person conferences and events
  • Assist with the following services: accommodation, transportation for participants, facilities, signage, additional conference requirements
  • Liaise with the catering staff for all conference hospitality requirements
  • Attends the monthly restaurant committee meeting on the Section Head’s behalf
  • Ensure that an adequate supply of support material is on hand for each meeting and/or conference
  • Provide support during in-person conferences and events, e.g. hosting, on-site registration process, information desk services
  • Support the Section Head with specific conference action plans from inception through completion

Who you are:

  • A recent graduate or current student in a graduate or undergraduate school program in management, hospitality, business administration or other relevant field
  • Basic knowledge of organising in-person conferences
  • Excellent organizational and administrative skills
  • Accuracy and attention to detail
  • Experience with Microsoft Excel, Word and PowerPoint
  • Language skills: verbal and written proficiency in the English language
  • Adapts to changing circumstances; tolerates ambiguity; accepts new ideas and change initiatives
  • Upholds ethics and values; demonstrates integrity

Eligibility Criteria

To be eligible to apply to our internship program, you will need to meet the following criteria:

  • You are a national of a NATO member country
  • You are currently studying towards a university-level degree or have recently graduated in the past 12 months
  • You have strong communication skills in English, both written and oral

We also request that you please attach the following documents to your application form:

  • Copy of the university degree you have completed and/or
  • Proof of ongoing studies with the dates clearly mentioned if you are still studying

Compensation

You will be compensated at a fixed taxable rate of 1,235.27 EUR per month, based on 38 hours of work per week and for travel expenses.
