Duties and Responsibilities
The Economic Commission for Latin America and the Caribbean is one of the five regional Commissions of the United Nations. It was founded in 1948 with the purpose of contributing to the region’s economic and social development. Its mission includes the design, monitoring and evaluation of public policies and the provision of advisory services, expertise and training to Governments, as well as support for regional and international cooperation and coordination activities. Please visit our website at www.eclac.org for further information. The internship is not paid and is offered in-person full- time basis (five days per week; 35 hours working hours 8:30 to 16:00). The internship in the General Service Unit at ECLAC Mexico City will last 6 months. Candidates may be selected throughout the posting period, on an “as-needed” basis. Under the supervision or overall guidance of the General Services Supervisor: The intern will support the team in the administrative activities of the Unit. Tasks will include: • Responsible for creating various infographics (welcome, safety, etc.). • Keep zone and floor wardens’ plans up to date. • Prepare information for Security-related matters • Prepare checklists for organizing meetings • Maintain the security control tasks up to date • Organize Security week. • Take photographs at events, setups, etc. • Work on the design and setup of the SharePoint site for Conferences, Safety, and General Services. • Manage the control, reception, and notification of participants at events. • Coordinate the setup and dismantling of rooms. • Oversee Meeting Room management. • Integrate the events table. • Participate in the design and implementation of the green office • Coordinate meetings and events arrangements • Keep event file up to date. • Prepare daily calendar of meeting room usage. • Attend all the events in Prebisch meeting room. • Promote the Prebisch meeting room with other UN Agencies • Help with the cost recovery plan. Monitor, review, and follow-up on actions related to the administration activities and interaction with administration units.• Prepare and process UN forms and permissions for contractual and work unit, section or service UN staff, including ground passes, property passes, parking permits, swipe-card access, and door keys. • Receive phone calls and visitors and referring them to the appropriate source or reply personally to queries when possible.• Scan and photocopy a variety of documents and other materials.• Coordinate extensively with service units and liaise frequently with internal team members both at Headquarters and in the duty station.• Operate a variety of office equipment in the performance of basic office functions, e.g. photocopier, printer, scanner, etc.• Perform other duties as required.
Qualifications/special skills
Applicants must meet one of the following requirements: (a) be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher); (b) be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent). Applicants to the UN Internship Programme are not required to have professional work. experience. However, a field of study that is closely related to the type of internship that you are applying for is required. Applicants must be a student in the final year of the first university degree (bachelor or equivalent), Master’s or Ph.D. Programme or equivalent, or have completed a Bachelor’s, Master’s or PH.D. Programme. Do you meet any of the above criteria? If yes, please indicate which one and attach proof to the application. Applicants must have good knowledge of standard software applications, especially MS Word, MS PowerPoint, and MS Teams. Ability to design plans, surveys, and polls is desirable. Studies in the Administration, Tourism, Marketing, Communications or related area is required.
Languages
English and French are the working languages of the United Nations Secretariat. Fluency in spoken and written English is required for the internship. Knowledge of an additional official UN language is an advantage. Arabic, Chinese, English, French, Russian and Spanish are the official languages of the United Nations Secretariat.
