About the Program

We offer internships lasting between 3 and 10 months. Our internship opportunities may commence at any point during the calendar year.

Before starting your internship with us, you will have to obtain a security clearance thus we remain flexible on potential start dates. Our helpful security teams will support you with this clearance process.

During this program you will join and support different teams and simultaneously learn from our business experts via on-the-job training and shadowing.

About the Internship

Internship duration: 10 months

Location: Oeiras, Portugal

The NCI Academy has been created by the NCIA to deliver high quality, certifiable and modern vocational training on systems and services utilized within NATO. The NCI Academy is led from its flagship training delivery location in Oeiras (Portugal) and supported by staff and capabilities in The Hague (The Netherlands), Brussels and Mons (Belgium). The NCI Academy is responsible for providing world-class C4ISR, Cyber, Command and Control and Enterprise training and education services, across the NATO enterprise.

As an Intern – Event Planning and Management, you will be part of the Training and Events Coordination Section. You will assist with the planning, process mapping and event execution at the NCI Academy in Oeiras, Portugal. The internship will include the following activitie

  • Creation of structured processes to prepare and run all forms of events and types of customers
  • Manage and assist with the creation and request of promotional materials, such as invitations, signage, and programs.
  • Manage or assist with the coordination of event logistics, including transportation, catering, and audio/visual needs.
  • Manage the communication plan and communicate with event attendees, vendors, and sponsors, and other stakeholders including sending emails and making phone calls.
  • Develop communications plans, materials, including press releases, newsletters, and website content.
  • Develop event sponsorship packages.
  • Create event timelines and schedules, and ensure that all parties involved in the event are aware of them.
  • Help set up and tear down event spaces, including arranging furniture and decorations, and managing equipment rentals.
  • Assist in managing event budgets, including tracking expenses and reconciling invoices.
  • Create an outsourcing plan for Events.
  • Provide on- site event support, including managing registration, greeting attendees, and troubleshooting any issues that arise.
  • Assist in the Conduct post-event evaluations to gather feedback and assess the success of the event based on surveys and analysis of results, including event evaluation reports.
  • Maintain accurate records of event details, including attendee lists, vendor contracts, and other relevant information.

Who you are:

  • A recent graduate or current student in a graduate or undergraduate school program in Event Planning, Hospitality or related field
  • Strong written and verbal English communication organizational and interpersonal skills
  • Ability to work independently and collaboratively as part of a team
  • Proficient in Microsoft Office (Word, Excel PowerPoint, Outlook)
  • Knowledge of event planning software and technology is a nice to have
  • Ability to multitask and prioritize tasks in a fast paced environment
  • Ability to think creatively and come up with innovative solutions to challenges
  • Attention to detail and strong problem solving skills
  • Excellent customer service and client relationship skills

Eligibility Criteria

To be eligible to apply to our internship program, you will need to meet the following criteria:

  • You are a national of a NATO member country
  • You are currently studying towards a university-level degree or have recently graduated in the past 12 months
  • You have strong communication skills in English, both written and oral

  • Proof of ongoing studies with the dates clearly mentioned if you are still studying

Compensation

You will be compensated at a fixed taxable rate of 1,152.91 EUR per month, based on 38 hours of work per week and for travel expenses.
