Duties and Responsibilities
The Economic Commission for Latin America and the Caribbean is one of the five regional Commissions of the United Nations. It was founded in 1948 with the purpose of contributing to the region’s economic and social development. Its mission includes the design, monitoring and evaluation of public policies and the provision of advisory services, expertise and training to Governments, as well as support for regional and international cooperation and coordination activities. Please visit our website at www.eclac.org for further information. The internship in the General Service Unit in ECLAC Mexico City will last 6 months. Candidates may be selected throughout the posting period, on an “as-needed” basis. Under the supervision or overall guidance of the General Services Supervisor: The intern will support the team in the Administrations activities of the Unit. Tasks will include: • Monitor, review, and follow-up on action related to the administration activities and interaction with administration units. • Assist with day-to-day administration of contracts between the UN and external contractors for outsourcing services. • Prepare and process UN forms and permissions for contractual and work Unit, Section or Service UN staff, including ground passes, property passes, parking permits, swipe-card access, and door keys. • Perform other related administrative duties, as required. • Maintain up-to-date work unit file (paper and electronic) • Receive phone calls and visitors and refer them to the appropriate source or reply personally to queries when possible. • Scan and photocopy a variety of documents and other materials. • Coordinate extensively with service units and liaise frequently with internal team members both at Headquarters and in the duty station. • Operate a variety of office equipment in the performance of basic office functions, e.g. photocopier, printer, scanner, etc. • Coordinate meeting and events arrangements. • Sorts and distributes or processes mail and other documents. • Uses basic keyboard and word processing skills to prepare forms and short documents (e.g. memos, letters, electronic mail, etc.). • Receives phone calls and visitors and refers them to the appropriate source or reply personally to queries when possible. • Give guide and support to participants to meetings or events at ECLAC Mexico Office or any other Agency that required assistance. • Delivers urgent mail/messages. • Maintains unit files (paper and electronic). • In absence of Registry Clerk give back up support in duties. • Performs other duties as assigned.
Qualifications/special skills
The basic education required is HS Diploma. Applicants must meet one of the following requirements: (a) be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher); (b) be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent). No working experience is required to apply for the United Nations Internship Programme. Your training, education, advance course work or skills should benefit the United Nations during your internship. Applicants to the UN Internship Programme are not required to have professional work. experience. However, a field of study that is closely related to the type of internship that you are applying for is required. Applicants must be a student in the final year of the first university degree (bachelor or equivalent), Master’s or Ph.D. Programme or equivalent, or have completed a Bachelor’s, Master’s or PH.D. Languages
English and French are the working languages of the United Nations Secretariat. Fluency in Spanish is required. Knowledge of English is required. Knowledge of another UN official language is desirable. English and French are the working languages of the United Nations Secretariat. Arabic, Chinese, English, French, Russian and Spanish are the official languages of the United Nations Secretariat
