Internships
The IAEA accepts a limited number of interns each year. The internships are awarded to persons studying towards a university degree or who have recently received a degree (see Internship web pages for further details).
The purpose of the programme is:
To provide interns with the opportunity to gain practical work experience in line with their studies or interests, and expose them to the work of the IAEA and the United Nations as a whole;
To benefit the IAEA’s programmes through the assistance of qualified students specialized in various professional fields.
The duration of an internship is normally not less than three months and not more than one year.
Organizational Setting
The Department of Management’s Division of General Services (MTGS) provides support functions to the IAEA through its four Sections, namely the Archives and Records Section (ARMS), the Commissary Management Section (CMS), the Facilities Management and General Support Section (FMGSS) and the Seibersdorf Laboratories Services Section (SLSS).
The Transport and General Support Section is responsible for the co-ordination of the IAEA’s travel requirements among the Departments and the Agency’s Travel Management Company, handling of official shipments, household goods storage and removals, management of the IAEA official vehicles, processing of duty travel visas, Austrian visas and UNLPs. It also prepares and processes petrol tax refunds for official vehicles and diplomats, issues and renews Austrian residency permits (‘legitimation’ cards) for eligible staff members, experts, fellows, consultants, and interns. The Section also provides housing services to IAEA staff.
Main Purpose
By successfully cooperating with inside and outside stakeholders, the Visa and Customs Unit (VCU) of TGSS processes applications and requests in the following areas: Austrian visa, car related issues, customs duty imports, duty travel visa, housing, legitimation cards, tax related issues and UN Laissez Passer (UNLP).
This work requires constant coordination between requesters, Agency staff and external contractors providing the services as applicable.
The main objective of the effort outlined herein is to increase the effectiveness and efficiency of the operational and administrative support and services provided by the VCU to customers, while at the same time providing opportunities for hands on experience of working in a dynamic and complex customer service environment. In addition, it will offer opportunities for learning more about the work in international organizations, its administrative procedures and communication with governmental organizations and other partners.
Functions / Key Results Expected
· Research and provide an overview of the local housing market and the properties available.
· Consult and provide timely advises to IAEA staff members on contract standards and the consequences of divergence.
· Under direct supervision of the Unit’s supervisor and/or the Housing Service SME, draft rental agreements by utilizing existing templates and accommodating special requests.
· Maintain and update the Housing Service property listing system by uploading new properties, and by providing access to new landlords and customers.
· Facilitate periodic reports and statistics on the output of the Housing Service.
· Provide ad-hoc housing related advice to customers and enquiring landlords.
Qualifications and Experience
· University degree in the relevant fields in International relations, law, business, economics, or a related field.
· Knowledge of database applications and Information Analysis and Reporting.
· Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Applicant Eligibility
· Candidates must be a minimum of 20 years of age and have completed at least three years of full-time studies at a university or equivalent institution towards the completion of a first degree.
· Candidates may apply up to one year after the completion of a bachelor’s, master’s or doctorate degree.
· Fluency in English and German is essential, both spoken and written is required. Fluency in any other IAEA official language (Arabic, Chinese, French, Spanish or Russian) an asset.
· Candidates must not have previously participated in the IAEA’s internship programme.
· Candidates must attach two signed letters of recommendation to their application.
