Internships

 

The IAEA accepts a limited number of interns each year. The internships are awarded to persons studying towards a university degree or who have recently received a degree (see Internship web pages for further details).

 

The purpose of the programme is:

 

  • To provide interns with the opportunity to gain practical work experience in line with their studies or interests, and expose them to the work of the IAEA and the United Nations as a whole; 
  • To benefit the IAEA’s programmes through the assistance of qualified students specialized in various professional fields. 
  • The duration of an internship is normally not less than three months and not more than one year. 

Organizational Setting 

 

The Department of Management’s Division of General Services (MTGS) provides support functions to the IAEA through its four Sections, namely the Archives and Records Management Section (ARMS), the Commissary Management Section (CMS), the Facilities Management and General Support Section (FMGSS) and the Seibersdorf Laboratories Services Section (SLSS).

 

Among the four Sections, the Commissary Management Section (CMS) is responsible for the management of the Agency’s tax and duty-free store at the Vienna International Centre. The Commissary is a self-sustaining and non-profit making operation, enabling the purchase of selected consumer goods by the diplomats of Permanent Missions of Member States accredited to the UN organizations, staff members of the UN organizations based at the VIC as well as of other authorized organizations.

 

 

 

Main Purpose

 

The main purpose of the internship is to provide practical experience and exposure to the processes involved in acquiring goods, managing vendor relationships, and handling invoicing procedures within for the Vienna International Center Commissary.

 

 

 

Functions / Key Results Expected

 

  • Perform analyses on sales performance, procurement patterns and assortment optimization, for example proposing de-listing of low runners and new potential introductions.
  • Perform market research on potential new listings and suppliers and monitor market prices. 
  • Investigate listing opportunities coming from product suggestions or special orders. 
  • Support the Procurement team with processing purchase orders, ensuring compliance with Commissary rules and procedures. 
  • Support the Invoice Control team with monitoring and processing invoices, credit notes, declarations, tax exemption and customs documents. 

 

 

Qualifications and Experience

 

  • University degree in Business Administration/ Management, Economics, Finance/ Accounting, Procurement or Supply Chain Management. 
  • Required: strong analytical and communication skills, familiarity with databases and reporting tools attention to detail, problem solving attitude, and capacity to prioritize tasks and manage time. 
  • Asset: previous experience in procurement and/ or invoicing functions or in a commercial role. 
  • Proficiency in working with Microsoft Office (Outlook, Word, Excel, PowerPoint), especially advanced Excel knowledge. 
  • Excellent written and spoken English essential; fluency in German or any other IAEA official language (Arabic, Chinese, French, Russian, Spanish) an asset. 

 

 

Applicant Eligibility

 

  • Candidates must be a minimum of 20 years of age and have completed at least three years of full-time studies at a university or equivalent institution towards the completion of a first degree. 
  • Candidates may apply up to one year after the completion of a bachelor’s, master’s or doctorate degree. 
  • Candidates must not have previously participated in the IAEA’s internship programme. 
  • Good written and spoken English essential; fluency in any other IAEA official language (Arabic, Chinese, French, Spanish or Russian) an asset. 
  • Candidates must attach two signed letters of recommendation to their application.
