Duties and Responsibilities

Background and Overall Objective

UNECA Sub-Regional office in Eastern Africa (SRO-EA) needs assistance of a staff who can work on property management duties such as inventory count and clearing items to be disposed. As a result, the office needs to recruit an individual contractor who will be responsible for the periodic inventory count. The overall objective of inventory count is to ensure that SROEA identifies and classify, all non-expendable as well as expendable inventory items, as well as assets to prepare for disposal, and year end reporting.
Inventory management is an essential part of managing an organization’s assets. A periodic inspection of current, non-disposable property allows an organization to plan its resources to acquire assets accordingly. Therefore, it is crucial to implement an annual inventory count of current non-disposable items, which includes inspection, recording, and reporting of its current condition. The reporting of the current conditions will also allow an organization to plan for maintenance and disposal.
Specific Objectives of the Contractual Agreement
The individual contactor will perform the following activities
– Physical verification of all items at SROEA
– Assigning Tags or Decals to all items including newly purchased non-expendable properties
– Count all furniture, equipment, machines, cars, and other non-expendable items at the SROEA premises
– Prepare the annual periodic inventory report (Non-expendable) including asset number, decal number serial number using an excel spread sheet.
– Identify properties damaged, broken or lost and report the status
– Prepares Stock bin cards for Stationary or stores control.
– Assist in identifying and recommending items to be disposed on sale, donation or destruction.
– Evaluate currently existing non –expendable items and report on maintenance requirements
– Prepare advertisement of items for disposal as per UN rules and regulations
– Prepare for the display of items for disposal
– Examines bids to identify winners for the items to be disposed. In collaboration with the AFO.
– Assist to ensure the items are paid for and picked up by winning bidders and removed from the SRO EA premises.

Qualifications/special skills

The minimum educational qualification required for this individual contractor agreement is a high school diploma, although a bachelor’s degree in Accounting, Administration, or any related field is preferred. The work experience required is a minimum of two years in the area of Finance, Inventory management.

Languages

English and French are the working languages of the UN Secretariat. For this position, fluency in English is
required and knowledge of the other is an asset.
