Overview:
The Junior Talent Operations Associate will support the Talent Operations team across multiple regions by handling foundational HR tasks and administrative duties. Working closely with three regional Talent Operations Managers, the role is designed to enable the team to focus on strategic initiatives by ensuring smooth day-to-day HR operations. This position offers a unique opportunity to develop skills in a dynamic, international NGO environment, with exposure to diverse HR functions.
Key Responsibilities:
  • Contract Management: Assist in preparing, reviewing, and tracking staff, consultant, volunteer, and intern contracts to ensure they are legally compliant and up-to-date across regions.
  • Compliance Support: Aid in collecting necessary documentation and information to ensure the organization adheres to local labour laws and internal HR policies.
  • Compensation Data Collection: Support in gathering market data and internal information for salary benchmarking, ensuring the organization’s global salary framework is applied consistently.
  • Job Requisition Processing: Assist in the job requisition process by gathering necessary details for job positions, ensuring compliance with internal guidelines, and coordinating the formal approval process to fill open roles.
  • Onboarding Coordination: Manage the administrative side of onboarding new hires, including preparing necessary documentation, setting up orientation schedules, and coordinating with relevant teams.
  • HR System & Knowledge Management: Maintain data integrity in the HR management system by updating employee records, while also managing the internal knowledge database for country offices with the latest HR information and policies.
  • Mobility & Immigration Support: Assist with cross-border hiring and immigration processes by preparing documentation and coordinating with relevant authorities for visa and work permit applications.
  • Payroll Support: Collaborate with the payroll team by gathering necessary documents, assisting with queries, and ensuring global payroll processes are followed.
  • Performance Cycle Coordination: Track timelines for performance evaluations, assist in coordinating review meetings, and ensure adherence to the organization’s performance cycle processes.
Desired Qualifications:
  • Bachelor’s degree.
  • Up to 5 years of work experience, with at least 2 years in an HR-related role.
  • Strong interpersonal and communication skills, with the ability to collaborate with team members and support HR processes.
  • Organizational skills with attention to detail, ensuring accuracy in data entry and contract management.
  • Experience working in cross-cultural environments and comfort engaging with colleagues from diverse backgrounds.
  • Ability to multi-task and adapt in a fast-paced environment, handling multiple HR administrative tasks effectively.
  • High level of confidentiality and discretion when handling sensitive HR information.
  • Proficiency in Microsoft Office suite.
  • Ability to work both independently and as part of a team in a hybrid work environment (3 days in-office required).
