Duties and Responsibilities
• Backstop and contribute to the organization and follow up to the seventh and eighth steering committee meetings of the GlobE Network, and to the organization and follow up of the fifth GlobE plenary meeting, to the meetings of the GlobE Thematic Working Groups and Secure Communication Platform Task Force by formatting documentation, saving files on the Sharepoint, monitoring the team mailbox, and preparing relevant communication, facilitating the issuance of badges, preparing list of participants and other tasks related to organization of meetings in coordination with substantive lead officers and other administrative staff. • Provide support to the organization of GlobE capacity-building activities. • Independently handle a wide range of complex information requests. • Provide advice on a wide range of administrative issues to meetings participants. • Analyze and maintain statistical data of meetings and conferences for reporting and communications purposes. • Edit, proofread and develop layouts of documentation related to GlobE Network activities. • Monitor GlobE team’s email account, ensuring all official documents are properly reviewed and filed. • Screen, prioritize all incoming correspondence and identify issues requiring the Coordinator’s attention and refer others to relevant officers for appropriate disposition and monitor and follow-up on actions to be taken, respond to queries related to registrations and participation in meetings.
Qualifications/special skills
• A high school diploma or equivalent is required. • At least 5 years of progressively responsible work experience in general office support, meetings and conferences support is required. • Proficiency in standard office software applications, such as MS Office, etc. is required. • Experience in the field of servicing intergovernmental meetings (indicating in particular: processing of documents, drafting invitations, lists of participants and related) at the international level, including United Nations or similar international organization, is desirable.
Languages
• English and French are the working languages of the United Nations Secretariat. For this post, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
