BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The United Nations World Food Programme (WFP) stands as the leading humanitarian agency dedicated to combating global hunger, providing lifesaving support in emergencies, and leveraging food assistance as a means to foster peace, stability, and prosperity for those recovering from conflict, disasters, and the impacts of climate change. Central to WFP’s operations is its supply chain management, which is strategically prioritized to ensure effective humanitarian responses. With a dedicated workforce of over 4,500 supply chain professionals, WFP operates tirelessly to deliver essential food assistance to beneficiaries in some of the most challenging environments worldwide.
In light of the ongoing Sudan Regional Crisis, Chad has emerged as a critical hub for WFP operations. The country not only provides support to Sudanese refugees but also serves as a vital supply line for beneficiaries in Western Darfur. This complex operation necessitates a high degree of efficiency and advanced supply chain capabilities to ensure timely and effective delivery of assistance to those in need.
The Warehouse Manager in ABECHE will play a pivotal role in enhancing the efficiency and effectiveness of warehouse operations in Chad, applying best practices in warehouse management and logistics to oversee the storage, distribution, and management of food and non-food items. The incumbent will be responsible for coordinating warehousing activities, optimizing inventory management, and ensuring compliance with WFP standards and policies.
RESPONSIBILITIES : The Warehouse Manager will be instrumental in positioning WFP Chad to effectively respond to the ongoing humanitarian challenges posed by the Sudan Regional Crisis, ensuring that assistance reaches those most in need in a timely and efficient manner.
Warehouse Operations Management:
– Oversee day-to-day warehouse operations including receiving, storing, and distributing food and non-food items.
– Ensure efficient inventory management practices are adopted to minimize waste and optimize stock availability.
Logistics Coordination:
– Collaborate with supply chain teams to develop and implement effective logistics and distribution strategies.
– Ensure timely and accurate reporting of warehouse activities to facilitate information sharing and decision-making.
Team Leadership and Development:
– Manage and mentor warehouse staff, fostering a culture of continuous improvement and teamwork.
– Provide training to team members on best practices in warehouse management and safety protocols.
Compliance and Risk Management:
– Ensure adherence to WFP policies, procedures, and standards in warehouse operations.
– Implement risk management strategies to mitigate supply chain disruptions and enhance operational resilience.
Data-Driven Decision Making:
– Utilize digital solutions and analytics tools to monitor warehouse performance metrics and identify areas for improvement (e.g., Prisma, Route The Meals).
– Support data-driven decision-making processes to enhance warehouse operations and supply chain performance.
DELIVERALBES:
1. Comprehensive Inventory Audit Report: Conduct a thorough inventory audit that includes current stock levels, turnover rates, and aging inventory analysis, along with actionable recommendations to optimize stock management.
2. Data-Driven Inventory Forecasting Model: Develop and present a predictive inventory forecasting model based on historical data and trends, enhancing the accuracy of future inventory needs and reducing stockouts or excess inventory situations.
3. Risk Assessment and Mitigation Strategies: Provide a detailed assessment of potential risks within the supply chain operations, along with proposed mitigation strategies and contingency plans to ensure continuous operations amidst disruptions.
4. Cost-Benefit Analysis of Current Warehouse Operations: Deliver a comprehensive analysis of current warehouse operations, highlighting key cost drivers, and recommend innovative processes or technologies that could lead to significant cost reductions.
6. Training and Development Program for Warehouse Staff: Design and implement a training program aimed at empowering warehouse staff with the necessary skills in inventory management, technology use, and safety protocols to enhance overall operational efficiency.
8. Warehouse Layout Optimization Plan: Analyze the current warehouse layout and workflows and propose an optimized design to enhance material handling efficiency, reduce travel time, and improve order fulfillment speed.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education:
• Master’s degree or bachelor’s degree with additional years of related work experience and/or training
Experience:
Minimum three years of relevant experience related to the Warehouse Management or similar
• Experience in humanitarian assistance and/or development programmes and a mix of field, Regional Bureau or headquarters postings are advantageous
Knowledge & Skills:
• Understanding logistics principles, supply chain processes, and inventory management techniques to ensure effective distribution of food and non-food items.
• Familiarity with food safety regulations and quality assurance standards to ensure the integrity of food supplies.
• Proficient understanding of warehouse management software and technologies for inventory tracking, order processing, and data analysis.
• Awareness of local and international regulations governing logistics, safety, and environmental standards.
• Capability to analyze data related to inventory levels, order fulfillment, and supply chain efficiency to make informed decisions.
• Ability to lead, motivate, and develop teams, fostering a collaborative working environment.
• Strong verbal and written communication skills for interacting with diverse stakeholders, including team members, partners, and external organizations.
• Ability to identify challenges and implement effective solutions quickly, especially under pressure.
• Highly organized with the ability to manage multiple priorities and projects simultaneously.
• Competence in using WMS, spreadsheets, and other relevant software tools for reporting and inventory management.
Languages:
• Fluency (level C) in both English and French language.
