The Danish Refugee Council is looking for a driven and service minded individual for the position of Management Support Coordinator within the Operations Department based at DRC’s Headquarters, Copenhagen.

Who are we?

DRC’s HQ-Operations (HQ-OPS) Department is overall responsible for developing and maintaining operational policies, tools, safety protocols, and internal regulatory frameworks at a global scale, and supporting their systemic and compliant application. The department is made up of four sections 1) Global Safety; 2) Operational Contracts and Grants Management; 3) Operational Support and Oversight; and 4) Operational Policy, Tools and Frameworks. There are currently just over 40 employees in the department.

About the job

The Management Support Coordinator position is an essential part of the Operation’s Management Team at DRC. You will perform a variety of tasks to support the Executive Director for Operations and to support coordination and communication in and across the departments at large. The responsibilities you will have and tasks you will be involved in include:

  • Assist management to plan, initiate and coordinate strategic priorities, annual processes and workstreams across the departments and the overall organisation.
  • Ensure documentation and information management of management decisions and organisational processes.
  • Follow up on selected actions, support change initiatives, and be the proactive coordinating body on implementation of management decisions in the department.
  • Prepare high-quality analyses, presentations, agendas, and decision-making materials for management meetings.
  • Develop and lead internal communication initiatives in the department and support communication across DRC.
  • Act as technical super user and coordinator for HQ-OPS SharePoint site.
  • Plan and execute meetings and conferences, including handling technical setups.
  • Respond to ad hoc requests across the department.
  • In addition, you will be responsible for and engaged in cross-departmental priorities and work processes, as required. The job includes the possibility to participate in and drive cross-cutting projects within different areas.

  • Highly independent self-starter.
  • Good understanding of support needed to drive management work and support management accountabilities at senior levels.
  • Excellent coordination and communication skills – both oral and written.
  • Outstanding interpersonal skills, a helpful and flexible attitude, and an ability to work as part of an interdisciplinary and multicultural environment.
  • Ability to balance competing priorities, work under pressure and carry out tasks in a structured and systematic manner.
  • Strong analytical and organisational skills.
  • Excellent Microsoft Office 365 skills.
  • Interest in working with digital solutions for communication and collaboration.
  • Experience of administrative processes.

Required

  • Academic degree (bachelor or masters).
  • 3-5 years of relevant working experience.
  • Excellent English language skills – written and oral.

Desirable

  • Experience in driving organisational change and/or strategic processes and projects.
  • Interest in and flair for budgeting and financial administration/management is a strong asset.
  • Ability to navigate ERP applications, particularly Microsoft Dynamics.

We offer

Contract length: 2 years (subject to extension)

Work place: DRC Headquarters – central Copenhagen

Start date: 1 January 2024

Salary and conditions will be in accordance with the agreement between DRC and AC (fuldmægtig-level). This is a national position for which local terms and conditions apply.
