Org. Setting and Reporting
This position is located in the Meetings Servicing Unit (MSU) in the Meetings Support Section (MSS), which forms part of the Meetings and Publishing Division (MPD) of the Department of General Assembly and Conference Management (DGACM). The Meetings Services Assistant reports to a Senior Meetings Servicing Assistant, under the general supervision of the Chief, Meetings Servicing Unit.
Responsibilities
Within delegated authority, the Meetings Services Assistant will be responsible for the following duties:
• Assists in servicing large and complex intergovernmental meetings and ensures that the necessary meeting room support is provided to facilitate the timely convening of meetings and smooth running of proceedings for all meetings held at UNHQ and other locations by intergovernmental organs and expert bodies.
• Ascertain the physical readiness/preparedness of the conference room and that the proper UN protocol is in place adhering to established UN protocol, practices and guidelines.
• Ensure that all official documentation to support meetings, including those serviced remotely, is distributed in a timely manner.
• Assist with the collection of documents from ODS and other online sources.
• Assist with monitoring the eStatements generic email account and processing of documents and statements received and ensuring that relevant files are uploaded to OneDrive and eJournal portal, as required.
• Respond to queries from delegations and the Secretariat.
• Ensure the distribution of procedural notes for the chairpersons of assigned committees and meetings/conferences.
• Maintain an accurate record of speakers and/or an attendance record and coordinate with the Secretariat, verbatim reporters and delegations on their position on the list of speakers.
• Assist in the voting and election process by distributing and collecting ballots.
• When assigned to Desk/Prepwork, prepare room charts, protocols and meeting files for assigned meetings, utilizing available technology (Taiden), assist with the preparation of draft assignments; maintain record of staff attendance; field and direct all incoming calls.
• When assigned to the Documents Counter/Documents Assistance Center: familiarize with accessibility standards and available accessibility equipment; show knowledge of the UN documentation process.
• Conduct regular checks of meeting rooms when not in use and submit maintenance requests when required.
• Maintain filing and reference system of procedures and reference materials for committees and meetings/conferences.
• Perform other duties as required.

Education
High school diploma or equivalent is required.
Work Experience
Five years of experience in conference support or related area is required
Experience in servicing intergovernmental meetings is desirable
Experience with voting procedures of an intergovernmental body is desirable
Experience and proficiency in software applications and technology developed for conference servicing is desirable
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is desirable.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
Special Notice

Due to the dynamic nature of meetings support services within the UN Meetings & Publishing Division, DGACM staff may be required to work outside of the standard office hours.
