Effective Management and Analysis of Sponsorship Operations Indicators, Child monitoring Standards and Registered Children (RC) deaths

  • Ensure quality delivery of correspondence operations as per partnership standards.
  • Analyse and share periodical National SOIs Performance status, highlighting management issues and engage the respective stakeholders (Sponsor Letters, E Letters, Parcels, Cards, Letters, Farewell, Introductory Letters and Support Office Requests)
  • Analyse and follow through on RC Monitoring and advise the Clusters respectively on RCs not being monitored within the partnership standard of 90 days
  • Effectively manage the National Office RC selection, Supply, and recruitment within the agreed commitments with Support Offices and within the partnership standards of 102%
  • Leverage   the new Digital technologies in correspondence business   processes
  • Engage with Support Offices and Global Centre on outstanding correspondence tasks
  • Manage Registered Children deaths according to partnership standards

 

  • Sponsor Retention and acquisition maintained above 98%
  • Staff mentoring and Coaching for better delivery of Sponsorship operations
  • Global National Office Dashboard for Sponsorship Operation Indicators are kept within or above 95% monthly Performance
  • Child Monitoring Standard equal to or above 98% performance
  • Registered Child Budget Management and supply   maintained between 100 -102%
  • Increased engagement of Sponsors and children
  • Increased positive  collaborations and partnerships with SO and GC
  • Interim and final death children deaths reports are shared to the SO and Global Center within agreed standards and ensure the deceased child’s record is dropped from the sponsorship database within the standard timeline.

 

 

Coordinate Production of Annual Progress Reports, Child Engagement Worksheets, Christmas Cards, RC Wellbeing Data Update and  their Reconciliations with APs, Clusters, Region, Support Offices and Global Centre

  • Coordinate the designing and children’s input of both the Christmas cards, Child Engagement Worksheets, and Annual Progress Reports respectively
  • Support and Monitor Timely, Accurate, and Valid RC wellbeing and Biodata update engagements with the Area Programs, Support Offices and Global Centre, and provide the required technical guidance
  • Effectively manage the review and updating of the AP Annual Progress Reports impact data stories and information in line with the planned technical programs within partnership standards and global requirements
  • Provide periodical performance updates & reconciliations of  Annual Progress Reports, Child Engagement Worksheets & Christmas Cards
  • Coordinate production and provide guidance to the content of the Annual Progress Reports and Christmas cards
  • Work with relevant stakeholders to develop the National Office Annual and seasonal Messages and videos with facts about transformation and specific celebrations like Christmas
  • Develop quality Assurance guidelines and frameworks for annual contents, child engagements and uploading of the required samples

 

 

  • 100% of the annual Contents (Annual Progress Reports, Community engagement Worksheets, and Christmas) processed within the Partnership standards.
  • 100% AUTO APR data quality certifications
  • APR templates for the NO established

Increase Sponsor Engagements through Quality Sponsorship 2.0 Rich Media Contents Production

 

  • Develop and periodically update the National Child and Community content Production plan in line with Global Centre guidelines and tools
  • Work with   Cluster Sponsorship Coordinator to Train and or Refresh volunteers and staff on Field, with skills of capturing quality media content and coding.
  • Review all AP Sponsorship 2.0 Community Contents Reports and submit to Global Centre / Support Offices respectively
  • Collaborate with Global Centre to reconcile and provide periodical updates on Child Update Photos, Child Update Videos, Community Update Photos, Community Update Videos, Community Farewell Video
  • Coordinate the production of special Videos and Photos productions like Managers annual Videos
  • Work with Communications to document, produce and publish child impact stories

 

  • Rich media calendar established for the NO
  • 100% quality Production of Sponsor Rich media commitments in line with partnership requirements and timelines
  • Increased capacity production of the Child and community medias
  • Increased sponsor engagements and Support Offices
  • Increase collaborations with other departments

 

CESP Design, Monitoring & Reporting

  • Conduct sponsorship feasibility and risk assessments for new Area Programs
  • Support designing of the National CESP plan – DIP, Log frames, and budgets
  • Monitor and track implementation of CESP   and National Office Planned CESP activities
  • Support  semi-annual and annual quality review of DIPs, budgets and annual reports
  • Consolidate and submit quality Periodical monthly, quarterly & annual Performance reports.
  • Support AP Transition processes and communications including Farewell letter, Project closure comment, Community Farewell Video, Community Farewell Photos
  • Participate in CESP AP evaluations and Baseline surveys
  • Work with MEAL to review the CESP Reports and Detailed Implementation Plan
  • Consolidate the monthly / quarterly National CESP Report

 

  • Guidance on Sponsorship feasibility and Risks for both new and ongoing APs
  • New APs, structures, and systems established
  • CESP designed, monitored, and implemented within partnership standard
  • Clusters Performance effectively monitored and adequately supported
  • National CESP strategic output targets achieved
  • Impact assessment of CESP on child wellbeing

 

  • Increased sponsor, SO and child engagements, and sponsor retention

 

 Registered Children Participation and Benefit

  • Analyse and Share National periodical RC wellbeing Participation status reports with Management and guide the Clusters in updating child participation
  • Engage Technical Programs on RC wellbeing and support development of appropriate actions on RC’ with case management issues.
  • Provide the National RC participation updates on the three unique participation for every RC captured in hope and provide specific actions to regions
  • Work with Technical Programs to develop and update the RC Participation Curriculums and life skills products
  • Develop and update age-appropriate guidelines for age-appropriate Life sustaining skills development & participation for Sponsored young adults and adolescents in Programme

 

  • National RC Participation tracked and maintained above 98%
  • Updated RC participation guidelines and Curriculum
  • Integrated NO TP activity monitoring plan

Management of Gift Notification and Bounce Backs

 

  • Coordinate the management, batching, and reconciliation of the Gift Notifications (GNs) and Community GNs with APs and Support offices
  • Provide periodic updates on GNs implementation
  • Coordinate Bounce backs and community Gifts with APs and Support Offices and ensure the reports are completed and submitted to Support Offices within the Sponsorship
  • Compile Special gift reports and media marketing stories as required

 

  • Implementation and reporting of the Community GNs and Bounce Backs and other gifts within agreed timelines and partnership standard/ requirements
  • Increased accountability and sustained GNs, bounce backs, and community GNs funding
  • Gift notifications impact documented and shared with the respective Support Offices
  • Sustained special gift funding

 

 

 

 

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

Required Professional Experience

 

At least 4 years’ experience in managing Sponsorship and development projects In depth understanding and experience in Child Sponsorship and its contribution to child wellbeing. In-depth understanding and experience in Development Program Approach and Sponsorship in Programming. Experience in design and facilitation of training programmes. Experience in local level partnering. Demonstrated competencies in program planning and reporting. Demonstrated competencies in Sponsorship in Programming, Sponsorship Operations, program planning and reporting required.

  • Bachelor degree in management or a social science field required
  • Computer skills
  • Proven negotiation skills

  • Master’s degree in management or a social science field required
  • Knowledge of sponsorship policies, framework, systems and processes.
  • Knowledge of World Vision’s Development Programming Approach and Sponsorship in Programming.
  • Knowledge of community development and engagement.
  • Excellent presentation and communication skills.
  • Experience in local and national level partnering.
