Position Background

The Office Administrator will be required to provide support to the WorldFish Solomon Islands office for administrative, management and procurement matters to ensure operating standards are maintained and maximum service contribution to the organization.

Key Responsibilities

  • Provide logistical support to (national and international scientists), research teams, Project Leaders, including preparing funds for field trip budgets and arranging domestic travel. This includes immigration support for visitors.
  • Perform receptionist duties at Honiara office front desk and maintaining the reception area appearance and dealing professionally with all visitors.
  • Track and replace office supplies as necessary to avoid interruptions in standard front office procedures.
  • Create and update databases and records for financial information, personnel and other data for retrieval as required by CL, FAM and PLs.
  • Coordinate Honiara office banking – withdrawals and deposits, and payments of invoices, including statutory payment submissions. This includes online banking initiator as backup.
  • Be the custodian for Honiara office petty cash. This includes posting of replenishments, disbursements and reconciliation.
  • Lead procurement activities in the Honiara office, sourcing quotes and raising PRs, creating POs and GRN.
  • Have responsibility in the month end reporting for bank and e-money reconciliations, including the preparation of monthly funds transfer requests to HQ.
  • Have responsibility as the asset custodian for Honiara and Auki Offices, and preparing asset disposal forms.
  • Support the Country Lead on liaising with key suppliers including the landlord and insurance company.

 

Requirements

This job might be for you if you have the below skills and qualifications:

  • A Bachelor’s Degree or higher Diploma in Finance and Administration.
  • More than two years relevant job experience in an international, non-profit or multinational organization.
  • Experienced in using Excel, word, an accounting software package, financial accounting.
  • Organizational savvy, secretarial skills, and applied critical thinking.
  • Experience in dealing with government departments in Honiara.
  • Excellent written and spoken English.
  • Reception, filing, HR experience.

Recruitment Process
