Reporting to the Country Administration and Procurement Coordinator, the Office Assistant will be responsible for managing kitchen and office supplies.
- Cleaning and maintenance duties.
- Clean office areas by emptying trash and mopping and polishing hard floor areas.
- Clean and sanitize all bathrooms by cleaning toilets/urinals, sinks, mirrors, and floors.
- Dusting necessary areas, wipe doors and windows.
- Sanitizing all touch points including but not limited to door handles, desks, tables, chairs, copiers, counters and appliances.
- Maintaining the office grounds clean with well-trimmed lawns, hedge and flowers.
- Checking and reporting any needed maintenance for the office.
- Management of supplies
- Managing and refilling kitchen supplies ensuring there is sufficient supplies all times.
- Stocking bathrooms with appropriate items: toilet paper, paper towels, soap.
- Security of Offices
- Securely locking up the office doors and windows at the end of the day and opening up offices for access by staff to ensure there is reduced risk of losing organization assets and resources.
- Reporting any theft, breakages or missing items to the Administration Officer within 24 hours.
- General Administrative work
- Preparing the meeting room, arrange and set meeting requirements.
- Performing office duties which include photocopying documents and preparing staff tea and other administrative support duties.
- Assisting CO drivers with town driving duties if required to do so by CO Administration Coordinator.
- Safeguarding, Gender Equality & Inclusion
- Ensuring that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility.
Knowledge
- A minimum of 5 ‘Ordinary’ level qualifications including English Language
- 3 or more years experience on a similar role
- Having a Class 3 or 4 driver’s license is an added advantage
