The Green Climate Fund (GCF)—a critical element of the historic Paris Agreement—is the world’s largest climate fund mandated to support low-emission, climate-resilient development pathways. As an operating entity of the financial mechanism of the United Nations Framework Convention on Climate Change (UNFCCC), GCF contributes to the goal of keeping an average global temperature rise well below two degrees Celsius.
The Fund seeks to engage an Operations Assistant Consultant to join its team at the headquarters in Songdo, Republic of Korea, for the initial 120 days over a 6-month period.
Role
The position provides overall administrative support to all streams of work under the Division of Portfolio Management (DPM) and interacts with staff members across the organization in the discharge of the post functions.
Duties and responsibilities
- Provide general administrative and substantive support to the Division of Portfolio Management to ensure its effective coordination and functioning by following up on related division on related services such as budget, procurement activities, staffing, general services, facilities etc.
- A gatekeeper, ensuring Deputy Director of Division’s involvement in projects or decision-making process at the right moment.
- Facilitate the engagement of DPM staff members in team retreats, internal working groups, etc. and maintain records of relevant outcomes, as appropriate.
- Process support materials and assist the logistical planning of meetings with DPs, AEs, and other external partner events, as needed.
- Meeting preparation, coordination, summary and follow up: review upcoming meetings to ensure the relevant parties have all the information needed to be as productive as possible, including sending out agendas or documents to meeting attendees, as necessary.
- Identify issues that serve as barriers to the team operating at maximum effectiveness.
- Ensure alignment with DPM’s administrative operations with overall Fund policies and procedures.
- Anticipate the DPM’s work by planning meeting agendas, and documenting discussions and outcomes and alerting team members about impending deadlines and allowing for higher efficiency levels.
- Compile inputs into development of annual divisional work programme and budget and tracks performance vis-a-vis divisional KPIs and budget utilization
- Deliver administrative help that is vital to meeting deadlines and completing projects on time.
- Prepare briefs, analysis and presentations on division work as may be required.
- Support data and document management for the division
Required experience and qualifications.
- Bachelor’s or Master’s degree with two (2) to three (3) years of relevant work experience or equivalent combination of relevant education and experience.
- Formal training in administrative and/or operational services desirable.
- Excellent writing and PPT development skills are strongly required, particularly in writing records from meetings, formal correspondences, letters, and electronic communication with external stakeholders. Exposure to project management is an added advantage.
- Ability to work with high volumes of work under high pressure with a high level of accuracy.
- Ability to exercise tact and discretion in dealing with governing bodies.
- Strong ability to organize work, set priorities, meet critical deadlines, and follow up on assignments with minimum direction.
- Good knowledge of office technology such as MS office package, especially Word, PPT and Excel, and experience with Internet use and e-mail applications.
- Proficiency in filing, record management and data tracking.
- Strong teamwork and interpersonal skills, and highly developed cultural sensitivity and tact in communicating with all levels of staff and external clients.
- Experience in working with databases is highly desirable; Ability to use as tableau an advantage.
- Fluency in written and spoken English is essential; knowledge of local language and/or another United Nations language is an advantage.
