JOB PURPOSE

This role will focus on creating, implementing, and managing standard operating processes and procedures for the Directorate of Regional Humans Right Impact (RHRI). In particular, the role will provide the Senior Director and the 8 Regional Offices around the globe with operational oversight and a comprehensive, collaborative support service that facilitates their efficient running and enables them to meet their objectives including delivering human rights impact. The role will work in an integrated way across all Regional Offices, ensuring efficient and strategic operational planning. The role will work with central functions of the IS (including but not limited to Finance, Workplace, IT and People and Organizational Development) to adapt the support provided to Regional Offices, to ensure they are equipped and empowered to work as effectively as possible, in collaboration with other IS teams.

In addition, the role provides high level support and coordination of the RHRI Senior Director in the leadership, coordination and execution of human rights work of the Directorate which oversees Amnesty’s Regional Offices, manage deliverables, tracks and implements plans, and oversee integrated ways of working within and between Amnesty’s regional offices with global programmes.

ABOUT YOU

You will have a profound understanding of project management, stakeholder management, and budgeting, executive support with knowledge of human rights and development as the core of the work that Amnesty does. You will utilise judgement and initiative to develop and deliver as required, a high-quality, proactive, and effective service, reporting, coordinating complex program activities and business processes in an integrated manner, with other stakeholders to develop solutions to non-standard situations, including under crisis or time constraints.

MAIN RESPONSIBILITIES

  • Support the Senior Director in implementing strategy and plans in furtherance of Directorate’s strategic plans, operational plans, and Key Results Areas, with the aim to support and improve operational efficiency, quality standards and risk management.
  • Work with the Senior Director to plan, minute and manage of departmental meeting, projects and events and ensure that such activities are correctly translated into deliverable solutions across the Regional Offices;
  • Create executive summaries and presentations on behalf of the Senior Director of RHRI, both for the Directorate and the Senior Leadership Team.
  • Manage relationships and coordinate work between different teams in multiple locations and ensure that integration remains key to all operational and administrative processes for the Directorate;
  • Set up systems of support, portfolio and systems reviews, business processes, workflow and administrative architecture that enhance delivery of Directorate policy and human plans and strategies.

PROGRAMME MANAGEMENT / OPERATIONAL SUPPORT

  • Provide executive support to the Senior Director of Regional Human Right Impact, including travel and events planning, diary management and expenses management.
  • Act as the focal point and point of contact for summary status/progress for relevant projects related to operational issues within the Directorate, including but not limited to those related to POD, Finance and Procurement;
  • Maintain oversight of financial processes and analysis such as quarterly forecasting and risk management, ensuring efficient resource management and administration of the programme.
  • Work with central IS functions and Regional Offices to guide and support smooth and efficient workflows and processes, relating to finance, travel, expensed management, facilities management and human resources for Regional Offices and lead on the resolution of operational issues.

SKILLS AND EXPERIENCE

  • Senior level experience of administering and coordinating high level tasks, work within a large and diverse department or programme in multiple locations
  • Ability to manage own work plan and to make recommendations to the Senior Director on strategic operational improvements
  • Experience of preparing and monitoring budgets (including project budgets), and an ability to identify budget problems and recommend resolutions
  • Experience in handling confidential information relating to e.g. sensitive human rights issues, organizational issues, staffing/personnel, and contractual information.
  • Previous experience of process/business analysis, including designing new processes

Qualifications – A bachelor’s degree in management, business, commerce, or related fields.
