Organizational Setting

The Department of Management (MT) provides a ‘platform of services’ that serves as a foundation for the successful delivery of the IAEA’s scientific and technical programmes. Its mission statement is as follows: “MT is a partner and a business enabler that champions change and efficiency, leveraging a common purpose”.

 

The Department of Management’s Division of General Services (MTGS) provides support functions to the IAEA through its five Sections, namely the Archives and Records Management Section (ARMS), the Commissary Management Section (CMS), the Facilities Management and General Support Section (FMGSS), and the Seibersdorf Laboratories Services Section (SLSS).

 

ARMS establishes a framework for the creation and management of authentic, reliable and usable records, capable of supporting IAEA business functions and activities for as long as they are required. The Section is divided into three Units: Digital and Mail Services, Records and the Archives Unit.

 

 

Roles

 

The purpose of this announcement is to build up the IAEA’s pipeline (roster) of qualified candidates in the General Service Staff category who are interested in short-term assignments within ARMS and who possess expertise within one or more of the following disciplines:

  •  

    Customer support and service function with a focus on on-time delivery and pro-active problem solving. 

  • Perform information management activities such as physical records transfers, location management in archival storages, processing of archival materials (This may include lifting boxes of records weighing up to 15 kg.) and providing information retrieval services to IAEA staff.
  • Assist in organizing, maintaining, and retrieving physical and electronic records, ensuring accurate documentation and compliance with organizational procedures.
  • Provide support in daily records management tasks, including filing, scanning, and updating databases.
  • Performing data entry, inventorying through accurate data entry and data quality checks in compliance with established operating standards. 
  • Required proficiency with MS SharePoint, Excel, Teams, and MS365. 

How does the Talent Pipeline work?

 

The talent Pipeline is open to enable candidates to express their interest for any of the above listed disciplines. For the Archives and Records Management Section, qualified candidates who are available for short-term assignments are encouraged to register and submit their online application.

Please note that recruitment is on a LOCAL BASIS ONLY, thus applicants must be legal residents in Austria. English language or administrative skills testing to IAEA standard is part of the screening process. Registration in the Pipeline does not constitute any formal obligation on the side of the IAEA to offer any type of employment. Updates will only be provided to candidates who are being considered for opportunities. Appointment is subject to a satisfactory medical report.

 

 

Qualification, Experience and Language skills

For the areas mentioned above, general requirements and assets are as follows:
  • Completed secondary education. 
  • At least two years of relevant working experience. Depending on the specific assignment a candidate is recruited for, more than two years of relevant work experience may be required. 
  • Ability to prioritize work assignments, organize own schedule, perform routine work independently, meet deadlines, adapt to constantly changing demands and multitask. 
  • Ability to manage the workload under time pressure. 
  • Proven capability to perform tasks with a high degree of accuracy and attention to detail.
  •  

    Willingness to carry out physical work.

  • Strong interpersonal skills as well as the ability to work effectively among people of different national and cultural backgrounds with sensitivity and respect for diversity. 
  • Fluency in written and spoken English. Knowledge of other IAEA languages (Arabic, Chinese, French, Russian or Spanish) an asset.

Remuneration
The IAEA offers an attractive remuneration package, including a tax-free net base salary. Remuneration level will be determined by the grade of the short-term assignment.
