Contract Information

The first year of contract will be probationary with the possibility of further extension subject to satisfactory performance. This post is limited to local status* only. *Local status requires applicants to have unhindered permission to live and work in the UK

Salary Information

Approximately £30,937 net per annum, (subject to deductions), free of income tax in the UK. Excellent benefits including medical insurance and UN pension scheme

Purpose

Under the supervision of Head, Implementation Support, the incumbent will carry out a wide range of administrative support duties relating to the implementation of IMO instruments, in particular, matters related to port State control, flag State implementation and casualty investigation

Duties and Responsibilities

Processing of meeting documents (Secretariat and external submissions) and briefs, including compilation of supporting information and proofreading of documents.Administrative support during meetings of IMO bodies, intersessional meetings, associated working and drafting groups.Reviewing of data sources, selection of relevant material and data acquisition for inserting in the relevant GISIS modules and provide support with maintenance and development of GISIS.Identifying and reviewing data or obsolete entries in the appropriate modules of GISIS for consideration by the responsible officer.Conducting data research and extraction for analytical and statistical purposes.Assisting in organizing and monitoring technical cooperation implementation, e.g. organizing activities, preparing recruitment and requisition requests; contacting other UN agencies, managing the timely receipt and review of TC activities reports from consultants and evaluation questionnaires.Organizing and coordinating staff and consultants travel with IMO’s Travel Unit, including obtaining travel authorizations, preparing SharePoint mission requests, UNDSS security clearance etc.Performing any other duties and replacing other administrative staff as required

Required Competencies

1. Ability to prioritise tasks, manage time efficiently to meet deadlines. 2. High degree of initiative, accuracy and attention to detail, ability to work quickly and effectively with minimal supervision. 3. Ability to adapt to a broad range of tasks and work under pressure to tight deadlines or at short notice. 4. Ability to interact harmoniously with staff at all levels and to work effectively in a team, within an international environment.5. Ability to maintain confidentiality, and to deal tactfully in all situations and interactions

Experience

Minimum of four years’ experience in administrative support work is essential. Experience working in an International Organization would be an asset

Education

Secondary education or equivalent

Language Skills

Proficiency in English (written and oral) is essential. Working knowledge of any other UN languages would be an advantage

Others

Proficiency in MS Office applications is essential. Experience working with an ERP system (e.g. SAP) and databases would be an asset
