The Clinton Health Access Initiative, Inc. (CHAI) is a global health organization committed to our mission of saving lives and reducing the burden of disease in low-and middle-income countries. CHAI was founded in 2002 in response to the HIV/AIDS epidemic with the goal of dramatically reducing the price of life-saving drugs and increasing access to these medicines in the countries with the highest burden of the disease. Over the following two decades, CHAI has expanded its focus. Today, along with HIV, we work in conjunction with our partners to prevent and treat infectious diseases such as COVID-19, malaria, tuberculosis, and hepatitis. Our work has also expanded into cancer, diabetes, hypertension, and other non-communicable diseases, and we work to accelerate the rollout of lifesaving vaccines, reduce maternal and child mortality, combat chronic malnutrition, and increase access to assistive technology. We are investing in horizontal approaches to strengthen health systems through programs in human resources for health, digital health, and health financing. With each new and innovative program, our strategy is grounded in maximizing sustainable impact at scale, ensuring that governments lead the solutions, that programs are designed to scale nationally, and learnings are shared globally.

CHAI started supporting Indonesia’s Ministry of Health in 2008 to scale up adult anti-retroviral therapy, through improving supply chain management; as well as technical assistance for improving the quality of ART and laboratory systems to support HIV care and treatment. In recent years, CHAI has expanded its support to the Ministry of Health to other areas including hepatitis and helping to facilitate BMS to and donate pan genotyping DAA, daclatasvir, more effective treatment for HCV patient, improving access to family planning, point of care diagnostics, m-health, maternal and child health, scooping assistive technology in Indonesia so no one left behind, and technical support for the Ministry of Health’s drive to sustainably fund healthcare. In mid-2016, CHAI launched its vaccines program to support the EPI and Ministry of Health in Indonesia introduce the Pneumococcal Conjugate Vaccine (PCV) and strengthen broader immunization systems, including cold chain, supply chain, and immunization financing, among other things. Currently CHAI Indonesia implementing four program areas; Vaccine, Paediatrics Cancer, Assistive Technology, and Hepatitis.

 

CHAI Indonesia is seeking a Program Administrator who will be supervised by Finance Lead. This position will be based in Jakarta

Responsibilities

Position Overview

Based in Jakarta, the Program Administrator, under supervision of Finance Lead and DCD, provides office management, administrative and logistic support, purchasing, vendor tracking, travel, meeting, and event.

 

KEY AREAS OF RESPONSIBILITY:

 

  1. Provide administrative support to ensure that office administration are maintained in an effective, up to date and accurate manner
  2. Prepare letters and memo of CD and all CHAI correspondences for third party
  3. Organize incoming & outgoing letters, reports, and memo.
  4. Maintain and responsible for office records and filing system for all letters and project documents
  5. Responsible for CHAI Indonesia procurement and vendor tracking
  6. Responsible and maintain for all office supply and office equipment.
  7. Responsible for preparing and monitoring contract with travel agent, hotel, and insurance.
  8. Provide general administration support including logistic support, budget development, and presentation and photocopy material related to program units for training, meeting, and workshops.
  9. Responsible for travel and meeting management of CHAI Indonesia staff and government partners, including ticket arrangements, accommodations, transportation, venue, meals etc.
  10. Assist for settlement program staff’s and telephone allowances
  11. Responsible and assist all Program staff in preparing Travel Request, Authorization and Travel Settlement reports to ensure timely submission.
  12. Assist to distribute project materials as directed by senior program staff.
  13. Assist in the preparation Payment Request for Program Activities and Operations
  14. Maintain current contact information for collaborating agencies and individual who work closely with CHAI.
  15. Responsible for all CHAI assets inventory, documents, and insurance.
  16. Supervise and monitor the daily office function.
  17. To perform any other duties as required by management.

 

Qualifications

  1. Bachelor’s degree in psychology, management, or finance with work experience in the same position is an advantage.
  2. Ability to be effective in high-pressure situations, handle multiple tasks simultaneously, and set priorities.
  3. Strong written and verbal communications skills, including the ability to synthesize information concisely.
  4. High level of proficiency in Microsoft Office, particularly Outlook, Excel, PowerPoint, and Word

 

 

  1. Fluent in English language both speaking and writing.
  2. Preferable Experience working with INGO.
  3. Strong organizational and problem solving skills
  4. 2-3 years working experience.
