Program Assistant – GGGI Vietnam

 

To support program delivery in Vietnam, GGGI is seeking for a Program Assistant to execute administrative and project-related tasks. The Program Assistant is responsible for ensuring the effective operation of administrative activities including organizing events, travel arrangements, supply chain recruitment, procurement, managing office assets and other administrative services.

The Program Assistant will work under the supervision of the Senior Program Assistant supporting Vietnam programs and as well as other team members in the Vietnam office.

PURPOSE

The position is to execute operation tasks, with emphasizes on logistical and coordination services, financial administration at the activity and outcome level and other administrative services.

ENGAGEMENT

Coordinate tasks related to GGGI country programs in Vietnam; this role will perform:

  • Support to implementation on the procedures and tools of all operation transaction for projects and output delivery, including information management and build up planning
  • Maintain a good working relationship and share relevant information with stakeholders, particularly government counterparts at an administrative level.
  • Support communication and coordination with donors and program stakeholders.
  • Collaborate with team members of GGGI Vietnam and engage on projects as need arises.
DELIVERY

The tasks include but are not limited to the following areas of work:

  • Monitor and maintain office’s supplies and assets to ensure appropriate use, update asset and inventory records
  • Support finance functions including office budget/expense management and petty cash reconciliation
  • Assist logistic support to GGGI events, workshops and to be a coordinator on the delivery of events
  • Conduct travel arrangement (airline ticket, accommodation) for both GGGI internal and external experts and staffs.
  • Accountable for procurement processing of goods and services, training materials, workshop venues, catering services for country program with a focus on value for money
  • Support with the preparation for staff onboarding process including processing visa, work permit exemption, temporary resident card for GGGI Vietnam international expert
  • Build up relationship with service provider
  • Other tasks as assigned by supervisors.
REQUIREMENTS
QUALIFICATIONS
  • Undergraduate degree.
  • Preferred at least 1 years of professional experience in administration or handling logistics and procurement
  • Knowledgeable in Microsoft Office tools and applications
  • Fluent command of English and Vietnamese, both written and spoken.
  • Self-motivated, detail-oriented individual with good organizational skills.
