SUMMARY DESCRIPTION

The Gender, Racial, and Ethnic Justice (GREJ) team is hiring a Program Assistant (PA) to support a Program Officer (PO) and a Senior Program Officer (SPO). The PA plays a pivotal role in managing the Program Officers’ calendar of appointments, meetings and work-related travel. Additionally, the PA will help support various activities for the PO/SPO such as managing the logistics of convenings, site visits and meetings, managing grantee and partner communications and follow-up, and acting as an important line of communication between grantees and partners and the program team more generally.

The ideal candidate is a detail-oriented, organized, problem solver who is a self-starter and remains calm and gracious in high-pressure situations. A successful PA can take direction from multiple people while managing competing priorities and should feel comfortable collaborating with people of all levels and backgrounds.

The Ford Foundation is committed to practicing salary transparency. The compensation for the GREJ Program Assistant is at minimum $75,000 and maximum is $87,000. RESPONSIBILITIES

  • Manage Program Officers’ schedules and travel planning and logistics including processing expense reports.
  • Initiate and manage the contracts process, including tracking payments, and forwarding invoices for payment.
  • Provide general administrative support, including assisting with onboarding for new hires, creating, editing and managing documents and other administrative tasks as needed.
  • Provide support for grant administration, including coordinating correspondence.
  • Assist with drafting grant recommendations, plan logistics for site visits and major grantee meetings, and prepare expense reports.
  • Establish and maintain appropriate files, including virtual grant file records.
  • Support program staff by preparing presentations and materials, conducting light research, collaborating with Information Management staff as needed, and compiling information into analytical tools and visual presentations.

QUALIFICATIONS

  • Proficiency in office computer applications, particularly GSuite (Microsoft Word, Excel, PowerPoint, Outlook are helpful, too) and basic Internet searches..
  • Ability to prioritize and handle multiple tasks
  • Ability to work collaboratively in diverse teams
  • Effective oral and written communications skills and the ability to handle communications tactfully and professionally with a high attention to detail
  • Ability to prioritize work assignments, handle multiple tasks and function independently
  • Ability to work in diverse teams with shared responsibility and accountability.
  • College degree plus a minimum of 1 year of work experience or equivalent combination of education and work experience

PHYSICAL REQUIREMENTS

This position is primarily a sedentary role. However, the person in this position may need to occasionally move about inside the office to liaise with internal staff, access files, office machinery and a copy machine/printer.
