Duties and Responsibilities
The Programme Assistant will be based in Juba and will report to the Director, RoLSIS, or a delegated Rule of Law Officer.
• Provides administrative and operational assistance in support of planning and implementation of activities/processes (including, but not limited to, reviewing and ensuring the accuracy and completeness of concept notes and budgets, obtaining the necessary approvals and clearances, liaising with vendors, making travel arrangements, etc.);
• Assists in budget preparation and management, procurement and logistical services;
• Assists with planning and scheduling, monitors status of activities, timelines and deadlines, and takes necessary action to ensure observance of deadlines;
• Collaborates with programme managers on planning instruments such as strategies and work plans;
• Provides assistance on requirements, guidelines, rules and procedures and ensures completeness and accuracy of data;
• Prepares, maintains and updates files (electronic and paper) and internal databases;
• Assists with the drafting of review of reports, correspondence and communications;
• Performs other duties as assigned.
Qualifications/special skills
High school diploma or equivalent is required.
At least five (5) years of relevant, progressively responsible experience in programme/project administration and assistance is required.
Experience in usage of office software and databases is required.
Demonstrable familiarity with rule of law and/or community violence reduction programming is desirable.
Prior experience in the UN system is desirable.
Languages
Fluency in written and spoken English is required.
