Position Description:
The Program Assistant will report to the Senior Administrative Officer and will be responsible for coordinating and organizing all financial requirements of the project with the objective of providing efficient financial support to the project within the guidelines and administrative procedure of the organization and icddr,b values and principle. The specific areas of responsibilities are detailed below:
- Work with PI/Stakeholder to develop programme management plan;
- Collect training materials, programme materials and logistics from head office;
- Assist in preparing budget.
- Coordinating with NGOs/GoB/UN organization staff at the designated area;
- Collaborate with monitoring, evaluation, and learning team to support implementation monitoring;
- Assist in training staff on project implementation;
- Support in team and initiate activities according to the project plan.
- Maintain list of contracts of relevant stakeholders.
- Work with team in organizing different events (meeting, workshop, seminar, training, conference etc.).
- Maintain files, stock register, issue register, movement register, leave register etc. in order to ensure effective office management.
- Keep on track of all contract extensions/renewals, vehicle registration/renewals etc.
- Keep clean office premises and keep assets functioning.
- Program Assistant should be oriented to GoB rules, policies and standards if required.
- Maintain petty cash of the office as a petty cash custodian.
- Collect and prepare proper receipts in order to ensure proper documentation.
- Keep record of receipts of deliverable, initiate payments of the vendor’s/service providers as needed.
- Maintain the inventory record of the office properly.
- Assist in and/or carry out other project activities and any other task as assigned.
Required qualifications and experience:
- Graduation in any discipline with good academic records; However, educational qualification may be relaxed up to HSC who have working experienced in GoB setup;
- 3 years of experience in the relevant field.
Location: Azimpur, Dhaka.
Contract Type and duration:
- Short-Term Contractual Service Agreement; duration will be 4 months with a possibility of extension subject to availability of funds and performance.
Salary & benefits:
- Tk 35,867/- per month (consolidated) inclusive of house rent and conveyance allowances;
- Festival bonus, income tax paid by icddr,b and subsidized canteen, Transport and daycare facilities are subject to space availability.
