The post is located in the Conference Support Section (CSS), Organized Crime Branch (OCB), Division for Treaty Affairs (DTA) of the United Nations Office on Drugs and Crime (UNODC), in Vienna. Responsibilities
Within assigned authority, the Programme Assistant will be responsible for the following specific duties: • Provide support and administrative assistance in the coordination of programme/project planning, implementation, monitoring and reporting. Review project documents especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identify inconsistencies; distribute project documents to relevant parties upon approval; • Review budget revisions; verify availability of funds; ensure necessary approval and entry in computerized budget system (e.g. Umoja); • Serve as focal point for administrative coordination of programme implementation activities, involving extensive liaison with diverse organizational units to initiate requests, obtain necessary clearances, process and follow-up on administrative actions; • Assist with the planning and servicing of all relevant expert group meetings, the Conference of the Parties to the United Nations Convention against Transnational Organized Crime and its subsidiary bodies; • Compile, summarize and enter information/data on specific programmes/projects and related topics or issues; research, compile and organize information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.; • Compile, summarize and enter data on project delivery; draft related status reports, identifying shortfalls in delivery, budget overruns, etc., and bring to the attention of management; • Draft correspondence on budget-related issues and prepare and update periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets, etc. Prepare, proofread documents and edit texts for accuracy, grammar, punctuation and style, and for adherence to established standards; • Provide general office assistance; respond to complex information requests and inquiries; review, log and route incoming correspondence; set up and maintain files/records; organize meetings, workshops; support the maintenance of websites; handle routine administrative tasks, such as maintaining attendance records, assessing telephone billing, etc.; • Provide administrative support to training and other capacity building activities organized for specific projects; • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assist with visualizations and updating information material such as web pages or brochures. • Perform other work-related duties as may be required including backup for colleagues.

Work Experience
A minimum of seven years of work experience in programme or project administration, including financial and budgetary areas or related area is required. The minimum years of relevant experience is reduced to five for candidates who possess a first-level university degree or higher. Experience in servicing inter-governmental meetings is desirable. Experience working with UN processes and procedures is desirable. Experience using SAP based application is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another United Nations official language is desirable.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
