ABOUT THE ROLE
Programme Coordinator, full time 35 hours per week Monday to Friday working in Geneva, Switzerland. This is a one year fixed term contract. However we have funding for the role to be part time on a permanent basis after one year so it could suit someone who is happy to work full time for one year then move to part time. Alternatively, this role might just suit someone who wishes to work full time for a year and then we would need to recruit again. There is a possibility we may receive more funding to extend the role on a full time basis but we cannot confirm that at this time.
This role will suit someone who has extensive experience managing the operations of a team or function and whom is a senior administrator with budgetary experience.
JOB PURPOSE
The role exists to ensure the team operates effectively and efficiently. The role holder will manage all administration and finance for the team including all travel, meetings, invoices, expenses and budget support. This office focuses mainly on advocacy and partners with the United Nations and Amnesty International Sections (other offices) thus the role would suit someone comfortable managing relationships at all levels internally and externally.
MAIN RESPONSIBILITIES
- Coordinate and support project planning and reporting, maintaining records and document management. We use MS Word, Excel, Powerpoint, Outlook, Teams and Sharepoint.
- Processing expenses and invoices using Concur.
- Managing and administering the budget and providing reports to Finance and management.
- Organise events, meetings, international travel.
- Liaise with the United Nations and other Amnesty offices and the movement.
- Manage the operations of the office including equipment and utilities.
- Partner with Human Resources regarding staff, volunteers and consultants.
- Ad-hoc project work.
SKILLS AND EXPERIENCE
- Extensive experience managing a large team or office or department and holding decision-making responsibility.
- Proven ability to manage projects from start to end.
- Experience arranging events, retreats, meetings and international travel.
- Strong experience using MS Word, Excel, Powerpoint, Teams and Outlook. It would be preferable to have strong working knowledge of Concur and Sharepoint and to be competent using systems.
- Must be very organised and proactive.
- Strong relationship management skills.
- Proficiency and experience in finance managing invoices and expenses and supporting budget management and reporting.
- Fluency in English and French.
- Excellent communication and interpersonal skills.
