The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The overall objective of the UNEP’s Economy Division is to encourage decision-makers in government, local authorities and industry to develop and adopt policies, strategies and practices and technologies that promote sustainable patterns of consumption and production, make efficient use of natural resources, ensure safe management of chemicals and contribute to making trade and environment policies mutually supportive. It promotes the development, use and transfer of policies, technologies, economic instruments, managerial practices and other tools that assist in environmentally sound decision making and the building of corresponding activities. The Knowledge and Risk Unit of the Chemicals and Health Branch promotes scientific approaches and knowledge for the sound management of chemicals including through implementation of UNEA resolutions. The Knowledge and Risk Unit gathers, compiles and analyses state of the art information and data, including through monitoring activities, inventories and assessments, to allow policymakers to make informed decisions on the sound management of chemicals and waste. The Unit executes projects and covers topics related to lead in paint, persistent organic pollutants, highly hazardous pesticides, chemicals in products, among others. The Unit also addresses issues of concern highlighted by governments, such as antimicrobial resistance, and assists in implementing mandates received through the United Nations Environment Assembly (UNEA) on the GCO-II, sustainable chemistry and the Sustainable Development Goals. The position is located in the Industry and Economy Division, Chemicals and Health Branch, Knowledge and Risk Unit, at the Geneva duty station. Under the direct supervision of the Head, Knowledge and Risk Unit, the incumbent will be responsible for the following duties;
Responsibilities
1) Assists in the coordination of programme /project planning and preparation work for departmental programme /project initiatives; monitors status of programme / project proposals and receipt of relevant documentation for review and approval. 2) Compiles, summarizes, and presents basic information/data on specific programmes / project and related topics or issues. 3) Reviews project documents, especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identifies inconsistencies; distributes project documents to relevant parties upon approval. 4) Serves as focal point for administrative coordination of programme / project implementation activities, involving liaison with diverse organizational units to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, recruitment and appointment of personnel, travel arrangements, authorization of payments, procurement of equipment and services. 5) Compiles, summarizes and enters data on project delivery; drafts related status reports, identifying shortfalls in delivery, budget overruns, and brings to the attention of management. 6) Drafts correspondence on budget-related issues and prepares and updates periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets. 7) Provides general office assistance; reviews, logs and routes incoming correspondence; sets up and maintains files/records; organizes meetings, workshops; handles routine administrative tasks, such as maintaining attendance records, assessing telephone billing. 8) Assist the Head, Knowledge and Risk Unit, and all the Programme Management Officers and Consultants in processing internal travel authorizations, meeting participants BP numbers, creating Travel Requests in Umoja, contacting Treasury for input of banking information in Umoja; Follows up and coordinates with UNON/UNOG Travel Unit and Travel Agent offices for meeting participants travel logistics. 9) Assists with grant or management in Umoja 2 portal by entering information of legal approved agreements on behalf of the implementing partners for processing. 10) Supports face-to-face and online meetings by sending out invitations, confirmation, visa support letters, and registration forms to funded and non-funded meeting participants, prepares rosters for payment of DSA by means of cash cards and receives boarding passes for travel claim or expense reports processing. Maintain a filing system for approved meeting documents like meeting approval routing slips, travel requests, e-tickets, passport copies, boarding passes. Assists with Visa applications and follow up with Tickets issuance. 11) Provides guidance / training to new / junior staff. 12) Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. 13) Assists with visualizations and updating information material such as web pages or brochures 14) Backs up other team assistants as needed and perform other duties upon request Head of Unit and by Chief of Branch.

Work Experience
A minimum of five (5) years of experience in programme or project support, public administration or related area is required. The minimum years of relevant experience is reduced by two (2) years for candidates who possess a first level university degree. Experience in programme or project support, public administration or related area is required. Experience with Enterprise Resource Planning (ERP) software such as Umoja, Inspira or similar is required. Experience in UN System or similar international organizations administration, particularly UN travel processes, is desirable. One (1) year or more of experience in data analytics or related area is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For this post, fluency in English is required. Knowledge of French is desirable. NOTE: “Fluency equals a rating of “fluent” in all four areas (read, write, speak, understand) and “Knowledge of’ equals a rating of “confident” in two of the four areas.
