POSITION SUMMARY

GGGI provides technical assistance, support, and facilitation to GOI to help achieve green growth. This includes stakeholder coordination, arranging meetings, trainings, workshops, and other forms of collaboration, as well as planning and implementation processes. The Project Assistant will provide operational and administrative assistance and coordination support to implement project that enable to mobilize and leverage investment in sustainable landscape contributing to Indonesia’s FOLU Net Sink goals. The Project Assistant will coordinate with GGGI Indonesia team and liaison with relevant stakeholders at the national level in Jakarta and liaise on administrative and financial activities with provincial teams in GGGI Focal Provinces. The Project Assistant will mainly assist Green Investment team with information management, including filing of documents, documenting of processes, taking meeting notes, event preparation, arranging itineraries, and liaison with relevant government partners and related stakeholders.

PURPOSE

The position/selected candidate will report to Green Investment Officer who leads Green Investment Project / will work in close coordination with Green Investment Officer and carry out the following responsibilities:

  • Provide operational and administrative assistance to ensure prompt, responsive, accountable, and high-quality program delivery, fully meeting established institutional policies, standards and donor requirements across budget execution, procurement & human resource processes implementation and other operational functions.
  • Manage and maintain an efficient and complete filing system, database, and documentation related to invoices, activities and events, as well as preparation and filing of minutes of meetings.
  • Support the coordination and liaison with Government counterparts, government task forces, other partner agencies, as well as our pool of experts, and other stakeholders.
  • Ensure and support official travel, through local travel vendor arrangement, for consultants or other external parties, and compile monthly travel reports.
  • Support the organization of events, including budget estimations, documentation, calendars.
  • Assist in preparation and implementation of procurement of goods and consultants, providing budget estimates and supporting the preparation of payments, managing event invitations and participant confirmation lists, organizing logistics, and any other relevant items.
  • Work as part of GGGI’s operations team and ensure full compliance with GGGI’s regulations, rules and procedures.
  • Collect monthly reports from output leads and file the reports in the GGGI system.
  • The position will involve domestic travel.
ENGAGEMENT

The Project Assistant will conduct the following tasks, among others:

  • Work closely under the supervision of the Green Investment Officer with sustainable landscape focus to provide high quality support to program activities.
  • Coordinate closely with the Green Investment Project team in Jakarta and GGGI Focal Provinces to ensure adherence to operating protocols and service delivery.
  • Contact person and/or focal point for support on program activities.
  • Maintain good and close relationships with government task forces, experts, and other GGGI relevant institutions/stakeholders.
DELIVERY
  • Ensure the delivery of administrative tasks supporting the overall operations of the Project. This includes supporting the Project teams in Jakarta and liaising with GGGI Focal Provinces to complete procurement processes, document filing, data management, and document translation.
  • Organize meetings and documentation, workshops, and other events, including taking meeting notes and preparing materials.
  • Develop and keep updated the tools for monitoring projects execution of work plan and tasks.
  • Develop and keep updated the tools for monitoring procurement planning, execution and amendment process in coordination with Operational Team.
  • Support the drafting of communication materials and knowledge products related to the Project in close coordination with the Communications Team in Jakarta and the Project Team in Jakarta and GGGI Focal Provinces.
  • Supporting the technical aspects of the Project, including information gathering and data processing, drafting summaries of relevant regulatory framework, and potential synergies and/or overlap with other initiatives in the sector.
  • Support the provision of required inputs for carrying out internal/external audits in compliance with the requirements and standards of GGGI and respective donors.
  • Guide the adequate and efficient use of relevant management and financial modules of GGGI’s Enterprise Resource Planning (ERP) System for the Country Program.
  • Be a champion and safeguard of GGGI Rules and Guidelines to apply them to the operational procedure in the Indonesia Office
REQUIREMENTS
QUALIFICATIONS
  • Bachelor’s degree in business administration, environmental study, economics, international relations, or related fields.
  • Preferred minimum 2 years of relevant working experience in related field. Internship experience will be considered.
  • Experience in working with the government (national and sub-national level) and non-government counterparts in Indonesia.
  • Experience in International Organizations will be an asset.
  • Experience in organizing events in a dynamic environment with a variety of stakeholders is highly preferred.
  • Familiarity with green investment in the sustainable landscape sector, experience in working related finance, investment, forestry, and environment will be an advantage.
  • Fluency in English and Bahasa Indonesia oral and written communication skills, including reporting and presentations are essential.
  • Willingness to travel.

PROJECT BACKGROUND

Currently, GGGI supports the Government of Indonesia (GoI) under the joint GoI-GGGI Green Growth Program (GGP, “the Program”). The Program aims to demonstrate that green investments can become the norm both for investors and planners, ultimately improving the quality of economic development for more environmental sustainability and social inclusion. Through the Program, GGGI collaborates with the Ministry of Development Planning (BAPPENAS), the Coordinating Ministry of Economic Affairs, Ministry of Finance, Ministry of Energy and Mineral Resources, Ministry of Environment and Forestry, Indonesia Environment Fund (“BPDLH”), PT Sarana Multi Infrastruktur (“PT SMI”), and others.

The Green Investment Project focuses on enabling investment in sustainable landscapes mainly to supports the Indonesian government’s institutions on the development and realization of natural capital assets investment in the sustainable landscape sector. The project aims to support the design, structure, finance, implementation and scale-up of ecosystem-based increases in Natural Capital Asset (NCA) in private and public initiatives across Indonesia by incentivizing and mobilizing investments that result in significant contributions to national forest and land use FOLU net sink targets. Investing in NCA envisioned to generate additional forest landscape values, reducing emissions, supporting forest-dependent communities, and leverage finance in support of FOLU Net Sink. The program directly leads to development, investment mobilization, and implementation of a pipeline of projects and programs to restore, protect, secure, enhance, and sustainably manage natural capital in Indonesia.

The purpose of the project is to support NCA investment by developing enabling investment policy and modalities, establishing of cross-cutting monitoring, evaluation, and learning (MEL) that feeds into GoI’s MRV for carbon-related investments and markets and decision-making for corrective actions up to provide access to fund for selected NCA projects on the ground. Three (3) NCA investment components namely: 1) multi-purpose forestry business (“MUK”), 2) business development of Social Forestry (“PS”), and 3) Payment for ecosystem services (PES). The project will focus on GGGI six focal provinces namely: North-, East-, Central-, and South Kalimantan, Papua, and West Papua, in addition other appointed provinces agreed with MoEF and IEF.

Overall, the Project’s goal is to attract sustainable investments that are mobilized and in turn, leverage additional finance for resilient scale-up of added-value natural assets in 3 components. It consists of a range of activities to achieve 3 outcomes:

  1. Efficient and iterative investment plan enabling specific NCA investments that is aligned with National Investment Framework;
  2. Enabling policy environment for NCA investments;
  3. Direct investments for NCA projects that benefit forest dependent communities, concessions competitiveness and creating new forest revenue flows.
