Under the general supervision of the Section Chief and Senior Media Officer in the Engineering and Technology Section, the Project Analyst/Senior Project Analyst will assist with the project process of the audio-visual capital program and provide project management support. This role focuses on the lifecycle replacement of conferencing and broadcasting technologies and infrastructure across the IMF HQ campus and other capital project-funded initiatives.

Main Duties and Responsibilities

Capital Project Management Support

  • Assist in developing work plans to ensure timely refresh of audio-visual systems across the IMF campus, aligning with budgets and organizational needs.
  • Provide project management support, records, data collection, and management, while facilitating communications with partners such as Facilities, IT, and external vendors.
  • Support the acquisition of AV/Broadcast systems, components, ancillary services, and outsourced contract services.
  • Coordinate budgets according to work scope and assignments.
  • Ensure effective communication of project closeout and handover of documents to the Operations team.
  • Assist the Senior Media Officer (Infrastructure) and Projects PM’s with project schedule development and maintenance, tracking progress accordingly.

Stakeholder Relationship & Communications Support

  • Work closely with peers in the Facilities Division and vendor companies to ensure integrated service delivery in line with project processes.
  • Build relationships with key stakeholders (internal and external) and respond to inquiries on project-related issues.
  • Handle project-related meeting scheduling, drafting, and circulating meeting minutes, and follow up on action items.
  • Assist the Senior Media Officer with vendor management KPIs and monitoring/reporting.
  • Administer on-and-off boarding tasks for vendor staff and service providers, ensuring proper system entry and IT access rights.

Budget Administration & Data Management

  • Monitor expenditure patterns, develop summary reports, and revise original budget estimates while coordinating status meetings with relevant stakeholders.
  • Run reports on budgets, expenditures, and utilization of contractual resources for the AV capital budget program.
  • Enter requisitions, request approvals based on established workflow, and send purchase orders to suppliers; process change orders as needed.
  • Monitor timely receipt of equipment and supply purchases, liaise with suppliers and HQ loading docks for expedient delivery.
  • Verify and process invoices, ensuring adherence to purchase orders and contract terms.
  • Ensure timely payment of invoices; collaborate with suppliers, project teams, procurement, and Accounts Payable to resolve billing discrepancies and payment-related issues.
  • Complete year-end accrual and closeout activities, following Procurement guidelines.
  • Maintains archives of purchase order files and pertinent backup documentation, electronically and in hard copy. Acts as a backup for the Divisional Administrative Coordinator and handles budget administration (REQ entry, invoice payment), and Vendor management (onboarding/offboarding, IT access management)

Key Skills and Qualifications

Educational development, typically acquired by the completion of a university degree, or equivalent, in Communications, International Relations, Languages, or a related field, is required. Alternatively, a minimum of two (2) years of relevant experience at Grade A05, or equivalent, is required.

  • Strong financial accounting acumen, including processing invoices, conducting forensic analysis to uncover issues, and managing financial reporting.
  • Excellent organizational skills to handle multiple projects, schedules, and administrative tasks efficiently, aligning with strict project timelines.
  • Proven ability to work well in a demanding environment, manage short deadlines, handle multiple tasks in a timely manner, and prioritize conflicting demands.
  • Proven ability to work with minimum supervision and exercise independent initiative.
  • Knowledge of best practices in procurement policies, budgeting, and experience in
  • compiling KPI desirable.
  • Proficient in Microsoft Office suite (PowerPoint, Excel, Word), SharePoint, PeopleSoft and other project management tools, preferred.
  • Superior oral and written communication skills
  • Strong teamwork skills, with the ability to collaborate effectively with diverse teams and stakeholders.
  • Educational development, typically acquired by the completion of a university degree in liberal arts, communications, computer science, or a related field, is required.

This is a one-year contractual appointment. Contractual appointments at the IMF are renewable for up to four years of cumulative contractual service, pending incumbent’s performance, budget availability, and continuous business need.
