Description

SHAPE is looking for Proof-reader responsible for ensuring that strategic risks to the achievement of Command Group (CG) priorities are managed in accordance with ACO Enterprise Risk Management framework, conduct of quality control assessment of all documents submitted by the SHAPE staff for CG attention, determining the optimum resolution for document completion and advising on document preparation.
General Background:
SHAPE, the Supreme Headquarters Allied Powers Europe, is the headquarters of Allied Command Operations (ACO), one of the two strategic military commands of the North Atlantic Treaty Organisation (NATO). ACO safeguards an area extending from the northern tip of Norway to the eastern border of Türkiye. This equates to nearly two million square kilometres of land, more than three million square kilometres of sea, and a population of about 320 million people.

Post Context/Post Summary
Supreme Headquarters Allied Powers Europe (SHAPE) provides an integrated Strategic Effects framework, employing a multi-domain and multi-region focus to create a 360-degree approach, with the flexibility to enable, upon direction, a seamless transition from Baseline Activities and Current Operations (BACO) up to the Maximum Level of Effort (MLE). SHAPE supports SACEUR in fulfilling his terms of reference, as directed by the North Atlantic Council.
The Management Directorate (MGT) primary focus is to provide all the necessary staffing and real-life support functions to enable SHAPE to deliver its critical outputs as a Strategic Military HQ. The Directorate acts as the HQ’s conduit to member nations (through NMRs) and to host nation authorities.
The Information Management and Business Continuity Branch (IMBC) provides the information management and staffing tools, directives and processes necessary for the efficient functioning and resilience of SHAPE as a Military Strategic HQ.
The Staff and Workflow Management Section (SWM) is the centralised ‘control room’ for the management of all Command Group taskers, and for the assessment of all official correspondence received by SHAPE.
As a proof-reader this post assists in the appraisal and revision of all documents, prepared by SHAPE staff, before presentation to the Command Group.
Principal Duties

Special Requirements and Additional Duties
The employee may be required to perform a similar range of duties elsewhere within the organisation at the same grade without there being any change to the contract.
Handle routine or special matters as directed by Section Chief.
The incumbent may be required to undertake deployments in support of military operations and exercises, and/or TDY assignments, both within and without NATO boundaries up to 30 days.
The work is normally performed in a Normal NATO office working environment.
Normal Working Conditions apply.

Essential Qualifications
Experience:

– Possess first-rate writing and editing skills.
– Possess sound organisational and communication skills.
– Possess an analytical mind and an eye for detail.
– Proven ability to communicate effectively with all levels of staff.
Secondary education and basic training for specific task related skills, with 2 years’ experience.
English – SLP 4444 – (Listening, Speaking, Reading and Writing)
NOTE: The work both oral and written in this post and in this Headquarters as a whole is conducted mainly in English.

Personal Attributes
The incumbent must be capable of using their own initiative and working with minimal supervision as the incumbent will need to work closely with military and civilian staff within the Branch and Headquarters. They must be capable of handling details. Must possess good interpersonal and communication skills, when dealing with staff and senior officers. Thought and judgment are required to establish priorities.
Professional Contacts
Daily contact with all levels of staff, particularly drafting officers, in offering advice on staffing procedures and the preparation of SHAPE correspondence. Through face-to-face meetings, emails or NATO Information Portal messages, communicates information to the staff.
Contribution to Objectives
Aim to ease the assimilation of new staff members into the organization through the medium of the SHAPE Staff Toolbox, Induction Programme and IM Foundation Course. Prepare and review easy to follow directives/documents on SHAPE staff work/preparation of correspondence/workflow and computer templates in order to educate, and thereby improve the standard of staff work circulated within (particularly to the Command Group) and outside the headquarters.
There are no reporting responsibilities.
This post reports to: OSC ZOAX 0010 – Section Head (Staff and Workflow Management) – OF-4.

REMARKS:
Duration of contract: Serving staff members will be offered a contract according to the NATO Civilian Personnel Regulations (NCPR). Newly recruited staff will be offered a definite duration contract of three years normally followed by an indefinite duration contract.
