Contract Information

IMO temporary contracts are limited to a period of up to 2 years in quarterly contracts based on role requirements and performance. There will be no expectation of conversion of the assignment to another contract. Our temporary positions are full-time and subject to local recruitment in the UK. Salary Information

Purpose

Under the immediate supervision of the Senior Editor (English), with functions overseen by the Graphic Designer, and the overall guidance of the Head, Editorial and Production, the objective of this post is to contribute to the editorial production of publications in English and to assist with the administration of graphic design services

Duties and Responsibilities

1. Assist the Senior Editor (English) with the following tasks:(a) identifying available freelance proofreaders and preparing files and assignment forms; (b) preparing book manuscripts and supplements for publication, in accordance with existing guidelines, by compiling relevant meeting documents to update publications, marking potential updates required in footnotes, performing document comparisons as needed in PDF or Word, ensuring queries and decisions are documented and filed;(c) proofreading outputs to ensure publication quality. This includes checking that all manuscript elements (including text, headings, items in lists, tabular and graphical elements, footnotes, headers/footers, widow/orphan lines, table of contents and pagination) have been properly included, formatted and cross-linked, as appropriate, and ensuring that obvious errors, discrepancies or incongruities as to content, format and typography have been corrected;(d) liaising with other departments to clarify technical queries;(e) maintaining table of action items and follow-ups from weekly meetings and ad hoc items in coordination with the Senior Editor (English).2. Assist the Graphic Designer with the following tasks:(a) adapting and drafting internal requests manuscripts into graphic design project briefings for external contractors;(b) organising meetings with internal clients and external contractors;(c) liaising with contractors to check their availability and request quotations; drafting and following up on routine emails;(d) maintaining documents, inboxes and library of assets related to graphic design, keeping them tidy and organised; keep track of project status;(e) occasionally undertaking simple design/desktop publishing jobs.3. Stand in for the Senior Editor (English) and for the Graphic Designer in their absence, if necessary.4. Perform other duties and undertake additional tasks within the unit, as required

Required Competencies

a) Excellent proofreading skills in English;b) Accuracy and meticulous attention to detail; c) A strong interest in graphic design;d) Excellent organizational, time management and planning skills;e) Good communication, collaboration and teamwork skills

Experience

A minimum of 4 years of experience in editorial/communication work, including proofreading and basic graphic design, is required. Work experience in general office and administrative support is desirable

Education

Secondary education or equivalent to university entrance standard; qualifications in communication, media, publishing or related disciplines are advantageous. Training in desktop publishing, graphic design or a related field is desirable

Language Skills

Proficiency in English (written and oral), with thorough knowledge of grammar and spelling rules

Others

a) Good skills in MS Office applications. Proficiency level in MS Word required, including ability to format documents;b) Experience with Adobe Creative Cloud applications, especially Acrobat and InDesign
