IFC seeks a Regional Program Analyst for Latin America and the Caribbean Region (LAC) based in Sao Paulo, Brazil, or Bogota, Colombia. The position will report to the Regional Head of Operations (RHO).

DUTIES AND ACCOUNTABILITIES

Under the overall guidance and supervision of the RHO and in coordination with the Country Managers, the Regional Program Analyst will support the management team in managing office operations, high-level and regional event planning, across-country office procedures, enhance and facilitate ACS knowledge management across country offices, and advise management on necessary office administration changes. It’s expected that s/he will work closely with multiple stakeholders, budget data, and policies and procedures.
The successful candidate will be responsible for, but not limited to, the following:

General:
•  Coordinating with building management, vendors, and office/HQ units, ensuring timely resolution of facilities-related issues in assigned duty stations, and supporting country office-specific needs.
•  Searching for, proposing, and coordinating with multiple stakeholders any improvements needed for smooth and effective office operation.
•  Interfacing with the facilities Project Manager, the architect, and building management on all office renovation matters, interior renovation designs, and signages to ensure alignment with office management requirements, building systems, and equipment, and WBG finishing standards in assigned duty station and, supporting country office specific requirements.
•  Develop a consistent approach across all offices in building management in coordination with the respective country office manager.
•  Supporting the Regional Directors in allocating space for new and existing staff by planning and monitoring space allocation, tracking workstation usage and revising the floor plans, proposing re-design of workspace and layout, and following up.
•  Drafting new or revised local and regional administrative guidelines and directives, facilitating routine updates of their sections, and coordinating with IFC colleagues the best practices.
•  Work and collaborate with the Executive Assistant/Senior Program Assistants from regional all country offices to develop a high level of teamwork.
•  Oversee the Foreign Ministry relationship of the designated duty station and develop a knowledge management process in coordination with the rest of the LAC offices to maintain consistency across foreign affairs administrative matters.

Event Management:
•  Oversee organization and management of all high-level regional events in LAC in collaboration with the respective country office administrative support.
•  Oversee event logistics, manage, and direct vendor negotiations and contracting.
•  Oversee relevant IT support staff and Design CVENT/hosting website for registration and information dissemination to attendees ensuring content is current and updated regularly.
•  Provide logistical, administrative, and practical support on IFC premises and offsite locations.
•  Book and manage venues for events regarding budgets in close collaboration with our budget team.
•  Work closely with selected event management companies, provide direction and instructions to coordinate all event activities, and ensure smooth and successful execution of all events.

Analytics and Transaction Processing:
•  Support and coordinate event transactions (including knowledge, training, and other events as needed) expenses and purchases, liaise with providers of services to manage purchase orders and STC/STT/Intern contracts in close coordination with office managers in the different countries.
•  Oversee, where relevant, appropriate procurement processes in line with WBG standards and advise teams.

 

Selection Criteria

 

•  Bachelor’s degree in Business Administration or a relevant field.
•  At least 5-8 years of experience in program and event management, budget, and procurement management.
•  At least 2 of experience in data management.
•  Strong understanding of IFC processes and procedures.
•  Self-motivated, creative with excellent organizational skills and proven ability to perform multiple tasks.
•  Excellent interpersonal skills.
•  Analytical mind, able to analyze, collect, and aggregate information and present data effectively to internal and external clients.
•  Capacity to deal with conflicting priorities and deliver high-quality work on schedule; facility to work successfully in multicultural teams and across boundaries.
•  Excellent oral and written presentation skills in English are required.
•  Enthusiasm for and commitment to development work.
•  Commitment to development work and IFC’s mission.
•  English and Spanish are required languages. Portuguese is highly desired.
