Position Title: Resource Management Branch Associate

Reports to: Associate Director, Impact & Planning

Location: Boston, MA hybrid role; in Boston office 2 days per week

Position Type: Full-Time

Position Overview

The Resource Management Branch Associate is an integral member of Partners In Health’s (PIH) Resource Management Branch, which is focused on the iteration, adaptation, and creation of systems and processes that improve the planning, coordination, and use of PIH’s resources. The position will sit on the Impact & Planning team and provide administrative, systems, and project support to three departments as well as direct support to the Principal, Chief Finance and Systems Officer.

 

The Associate’sprimaryresponsibilitiesareadministrative, and require great diplomacy, resourcefulness and flexibilityas this individual will be working closely with a diverse range of people within and outside of the organization.Theseresponsibilitiesincludemanaging and optimizingcommunication between various departments, calendar management, strategic support, and coordination across various projects and priorities. The Associate proactivelyidentifies and implements improvements to administrative systems and processes that support the branch’s efficiency and effectiveness.This position offers great exposure to the inner workings and strategies of several key departments of a fast-paced non-profit within the global health sector.

 

Responsibilities

Administrative Support to the Principal, Chief Finance and Systems Officer,and Department Heads (60%)

  • Schedule meetings, assemble and communicate agendas, and record and circulate clear notes and action steps.
  • Arrange travel logistics for site visits, cross-site training and workshops, and conferences including creating itineraries and hosting visitors in the Boston office when needed.
  • In collaboration with the hiring manager and HR, provide recruitment and onboarding support including resume reviews, interview planning and coordination, scheduling, and development and maintenance of branch-wide materials.
  • Manage certain finance matters including invoices, reimbursements, receipts and corporate credit card statements.
  • Create, update, and maintain shared internal resources such as presentations and SharePoint sites.

Communication and Project Management Support(40%)

  • Create and manage internal communication systems across the Resource Management Branch.
  • Provide project management support in the planning, monitoring, and tracking of cross-Branch priorities and strategic initiatives. Support knowledge management processes and improvement efforts across different functions.
  • Courteously and appropriately represent PartnersInHealth and the U.S. Coordination Site when interfacing both internally and externally.

 

 

Requirements andQualifications

  • Bachelor’s degree in public health, international development, or related field or 2 years work experience.
  • At least 3 years of relevant experience, including providing administrative support in a fast-paced environment.
  • Advanced organizational skills and attention to detail.
  • Ability to work independently, take initiative and work effectively within a team.
  • Must be a quick learner, able to manage multiple priorities and easily adapt to changing circumstances.
  • Strong interpersonal and communication skills, verbal and written.
  • Proficiency in Microsoft (MS) Office (Excel, PowerPoint, Word) and working knowledge of MS SharePoint.
  • Readily learns new software systems and technology.
  • Interest in social justiceand global healthstrongly desirable.

Pay and Benefits

 

The general salary range for Associate-level roles at PIH is $55,000-$70,000. The expected starting salary for the Resource Management Branch Associate role at commencement of employment is expected to be between $60,000-$62,000 /year. The starting salary offered may vary depending on multiple individualized factors, including market for the position, job-related knowledge, skills, and experience.

Subject to the terms and conditions of the applicable plans then in effect, eligible employees may enroll in a 401(k) plan with employer match, as well as participate in organization-sponsored medical, dental, vision, short-term and long-term disability insurance, and basic life insurance plans for the employee and the employee’s eligible dependents. Full time employees will receive 15 days of vacation, 12 sick days, 3 personal days, and 3 volunteer days in addition to paid time off during the week between Christmas and New Year’s Day, the week of July 4th, and 11 additional holidays annually.
