About the position

 

Based in Rome, Italy at the Alliance Headquarters, and under the direct supervision of the Events and Visitor Experience Associate Officer, the Intern will provide operational, logistical, administrative and events support and assistance to the Events team.

 

Responsibilities

  • Assist the team with general support services:

o  Assist with reception-related duties [welcoming visitors and switchboard function and updating pigeonhole (mail)].

o  Assist with standard office activities such as general mailbox, incoming and outgoing mail and calls, courier services and deliveries.

o  Assist with staff attendance registration.

o  Support maintenance of office supplies and assist purchases with local vendors for office needs.

o  Assist with generating access badges for staff members and visitors.

  •  Assist the team with procurement and administration tasks:

o  Assist in raising requisitions through the internal management system (Agresso); Support with monitoring of the status of the existing ones and coordination with Accounts Payable for invoice bookings.

o  Assist with administrative process (RRS, PO, GRN, Payment Booking- invoices – BC).

o  Assist with preparation and archiving all documentation related to the facility’s activities and services.

o  Support with updating physical and electronic archives and databases (e.g. expiry dates of contracts, insurance policies).

o  Support with updating of Power-Bi tool in OCS, by reviewing desk allocations at HQ.

o  Support with accounting tasks, including internal invoices and rebilling related to meetings.

o  Provide support with basic statistical reports on all facilities activities (e.g. statistics, metrics, etc.).

  • Additional duties:

o Support office closures when necessary.

  • Perform other tasks as required.

 

Requirements

  • Ongoing or recently completed university studies in languages, business administration, accounting, or related fields.
  • Working knowledge of Microsoft Office Suite packages (Word, Excel, PowerPoint).
  • Proficiency of the English language, both written and spoken.
  • Basic knowledge of the Italian language, both written and spoken.
  • Good interpersonal, communication and teamwork skills, courtesy and tact, and the ability to establish and maintain effective working relationships with people of different cultural and national backgrounds.
  • Good skills in personal organization and priority setting.
  • Good client orientation and service approach.
  • Good time management skills and attention to details.

Terms of employment

Applicants must be currently enrolled in a university or graduate school and have completed at least two years of undergraduate studies, or alternatively, have completed their university studies within the past six months. The internship shall be either on a full-time or on a part-time basis for a period of 9 months. The monthly stipend will be established in accordance with Bioversity International’s local standards and regulations.

  • Be Italian nationals holding a valid passport or identity card.
  • Or be EU citizens holding a valid passport or identity card and confirmation of registration from the Registrar’s Office (Anagrafe).
  • Or Non – EU citizens holding a valid Italian work permit (permesso di soggiorno per lavoro subordinato).
