OVERVIEW OF THE FUNCTIONS OF THE POST

Under the overall authority and direct supervision of the Director of the Office, the incumbent coordinates and performs a full range of office and management support and administrative tasks, and provides direct assistance to the Director in order to ensure quality and consistency of the flow of office work and management of the information of the Office. Specifically, the incumbent will be responsible for the following:

  • Screens requests for appointments with the Director of the Office according to the nature of the requests and their urgency; maintains director’s calendar; confirms mutually convenient schedules and arranges appointments or rearranges schedules disrupted by unexpected events.
  • Receives visitors; places and screens telephone calls; responds to queries and correspondence, often of a sensitive, confidential or technical nature.
  • Constantly keeps the director informed on delicate matters which need particular attention.
  • Organizes the missions of the Director (air-ticket, compliance with UNESCO rules and regulation, arrange for the security clearance, VISA issuance, etc.); liaises with the other UN agencies and governmental partners to arrange for the absences of the director.
  • Coordinates and leads secretarial support services for high-level meetings, service- or Office-wide training and special projects/ events. Coordinates the work of other support staff, establishes priorities and ensures equitable distribution of work.
  • Prepares the necessary background documents and files for the meetings; attends meetings, prepares minutes, monitors follow-up activities; makes arrangements for formal editing, translation, etc., of documents and publications.
  • Reviews, records, distributes and processes incoming mail and correspondence; follows up on pending actions; prepares draft technical responses to a wide range of correspondence and other communications, often requiring knowledge of technical terminologies and/or detailed office procedures.
  • Carries out quality control functions for outgoing documents; proofreads and edits texts for adherence to format, grammar, punctuation and style. May coordinate/ guide the work of other support staff and ensures equitable distribution of work.

  • Searches, compiles, and organizes background information and reference materials from various sources for reports, briefs and speeches.
  • Generates a variety of statistical and other reports from various databases.
  • Creates and maintains the Office filing and reference systems; periodically reviews the efficiency of office procedures and makes recommendations for improvement.
  • Updates office websites, knowledge management tools/ databases etc.

REQUIRED QUALIFICATIONS

EDUCATION

  • Completed secondary, technical diploma and/or vocational school.

WORK EXPERIENCE

  • Atleast 5 (five) years of relevant work experience in administrative, secretarial support and/or closely related fields.

SKILLS AND COMPETENCIES

  • Sense of integrity, confidentiality, commitment and reliability.
  • Good analytical and problem solving skills.
  • Ability to provide quality and timely support and services.
  • Excellent interpersonal and communication skills.
  • Strong knowledge of MS office (Word, Excel, Outlook, PowerPoint) and database packages.

LANGUAGES

  • Excellent knowledge (spoken and written) of English and Persian.

DESIRABLE QUALIFICATIONS

WORK EXPERIENCE

  • Experience within an UN agency or other international organization.
  • Experience in the field of administrative and secretarial support.

LANGUAGES

  • Knowledge (spoken and written) of French.

BENEFITS AND ENTITLEMENTS

UNESCO’s salaries consist of a basic salary and other benefits which may include if applicable: 30 days annual leave, family allowance, medical insurance, pension plan etc.

The approximate starting annual salary for this position is USD 19,512.
