Purpose of Job

Working closely with the Principal, Annual Meetings Event Management, the Senior Event Officer is responsible for the administration and delivery of assigned Business Forum events from a logistics and event management perspective in a physical, hybrid or virtual setting. The Senior Event Officer is the focal point for Business Forum events during the Annual Meeting. The role requires close collaboration with EBRD stakeholder departments, Forum Partner companies and event speakers.

In addition, the Senior Event Officer provides support to the Principal, Annual Meetings Event Management.

Accountabilities and Responsibilities

  • Liaison with internal client departments and Forum Partner companies to formalise expectations and event deliverable services
  • Coordinate the participation of panellists, including preparation of invitation letters, registration, organisation of test/rehearsal and collation bios and photos for website
  • Inform panellists about necessary preparations
  • Keep track of all technical and logistical requirements of each event
  • Collate and input relevant event information on the Annual Meeting website
  • Production of event logistics guidelines, storyboards and detailed summary sheets for all assigned events to include virtual and in-person event set up, running orders, presentations/hand-outs, invitation/registration criteria and panellists’ information
  • Day to day on-site management of assigned events and coordination of technical/support staff running the meeting
  • Provision of final event statistics for assigned areas (to include access criteria, participation levels and engagement levels)
  • Electronic filing of official Unit documents in respect of assigned events and tasks
  • Draft thank you letters to speakers
  • Draft post event report for respective area

Knowledge, Skills, Experience & Qualifications

  • Over 3 years event management experience, preferably with international events experience
  • Experience of on-site as well as remote coordination of multi event programmes in a physical, virtual and hybrid setting
  • Very good understanding of logistical and technical requirements for in-person, hybrid and virtual events
  • Excellent communication and interpersonal skills
  • Knowledge of EBRD structure and Annual Meeting format an advantage
  • Advanced computer proficiency to include PowerPoint, Excel
  • Familiarity with virtual event and streaming platforms
  • Excellent spoken and written English; knowledge of French, German, Russian or Arabic an advantage
  • Able to work in a close team environment
  • A keen eye for detail
  • Excellent interpersonal manner, including tact and diplomacy
