The Council and Executive Committee Secretariat (SGE/CES), in co-ordination with the Office of the Secretary-General, supports the Secretary-General in maintaining strong relations with Member countries and their delegations in Council, ensuring the implementation of mandates related to the Organisation’s work and advancing its strategic objectives. It contributes to effective governance by providing key operational support to the Council and its Executive Committee (ExCo) and related meetings, including the annual Ministerial Council Meeting (MCM) and the Global Strategy Group (GSG), and advice and assistance on institutional and procedural issues to Delegations and the Secretariat.
SGE/CES is looking for a Senior Events and Projects Co-ordinator, who, under the general oversight of the Director of the Council Secretariat, will co-ordinate logistics and ensure that the appropriate protocol is maintained for official meetings supported by the Secretariat, in close co-ordination with the Office of the Secretary General and the Head of Protocol.
Main Responsibilities
Meetings and official receptions
· Prepare all logistical aspects of the meetings of the Council, the Executive Committee, the Heads of Delegation and informal briefings for Members. This includes liaising with the necessary support services on room/venue reservations, interpretation, recordings and coffee breaks, preparing table plans and name plates/country plates, identifying meeting dates and co-ordinating the schedule of events in coordination with other Directorates and Permanent Delegations, and ensuring the appropriate protocol-related preparations are in place.
· Take care of logistical and organizational aspects of the annual Ambassadors’ Seminar, including identification of a suitable venue and negotiation of the meeting space and conditions with vendors/service providers, transportation, lodging and meal arrangements for participants, cultural activities and the availability of necessary documentation and other materials for meetings which are held outside the headquarters of the Organisation.
· Work closely with the office of the Secretary-General and in particular with the Head of Protocol on supporting the logistical aspects of high-level events such as the Ministerial meeting of the Council (MCM) and the Global Strategy Group Meeting (GSG).
· Ensure the availability of all documentation related to the meeting and distributing documents to participants, setting up equipment for presentations to be made in Council, making sure Secretariat staff presenting an item during the meeting are present in due time, establishing and managing the list of participants, etc.
· Cooperate with the Office of the Secretary-General for the organisation of farewell receptions for Permanent Representatives.
· Compile the relevant statistics related to the meetings on an annual basis.
· Stay abreast of best practices, and new technologies and innovations in the field of event organisation and propose improvements to existing services and operational procedures.
Protocol support
· Ensure that the necessary protocol arrangements are in place for the arrival and departure of Members of the Council. Ensure that biographies, are drafted and issued and that farewell receptions are organised. Maintain and update lists and documents including the precedence list of Ambassadors, the list of responsibilities of Ambassadors within the Committees of the OECD, the list of Deans of Ambassadors and the precedence list of Deputy Permanent Representatives.
· Liaise with the Public Affairs and Communications Directorate to update the OECD website upon the arrival or departure of a Member of Council.
· Provide protocol assistance for all official events related to Council in close liaison with the Head of Protocol.
Relations with Members
· Develop and maintain relations with members of the Permanent Delegations and with the Secretariat.
· Respond to questions and requests for information from the Permanent Delegations’ and the Secretariat.
Other duties
Assist the Director in the absence of her assistant.
Carry out any other tasks as required.
Ideal Candidate profile
Academic Background
· University degree. Relevant training or professional experience in event management would be an asset.
Professional Background
· Proven relevant experience in organising large, complex events, and/or high-level events, in an international organisation, with a thorough knowledge of both physical and digital events.
· Excellent track record of dealing with administrative, logistical, technical and protocol issues.
Tools
· Proven relevant knowledge of Microsoft Office applications (Word, Authoring Environment, Excel, PowerPoint, etc.). Good command of the internal OECD administrative software, in particular the Events Management System (EMS), CRMS, Zoom, SRP and eShare or the ability to learn these skills quickly.
Languages
· Fluency in one of the two OECD official languages (English and French) and knowledge of the other, with a commitment to reach a good working level.
· Knowledge of other languages would be an asset.

Contract Duration
One-year fixed-term appointment with the possibility of renewal.
· Monthly base salary starting from 5 136 EUR, plus allowances based on eligibility, exempt of French income tax.
