IFC is looking for a highly organized, energized, and experienced person capable of operating effectively in a very demanding fast-paced environment to serve as a Senior Executive Assistant.

The Senior Executive Assistant is expected to:
•  Working with a high level of discretion in providing comprehensive executive assistance in setting and managing priorities and workflow of the Director as necessary, including handling the Director’s schedule, meetings, official functions, and travel arrangements.
•  Providing high-quality administrative and logistical support to the Director.
•  Synchronizing the Director’s calendar with the Corporate calendar including Board/Committee schedule.
•  Independently preparing, coordinating, and monitoring the quality of correspondence on behalf of the Director and ensure that relevant background materials, briefs, binders are available for meetings (including but not limited to IFC corporate committees, Executive Committee, Management Team, and client meetings), deadlines are met, and documents are of high quality and in adherence to administrative and operations guidelines.
•  As the first line of contact with an extensive network at the most senior level, both internal and external clients, the Senior Executive Assistant (SEA) is expected to exercise judgment, tact, and diplomacy in dealing with sensitive or highly confidential matters.
•  Establishing and maintaining an effective network of contacts, both inside and outside the unit, to ensure effective cooperation in support of office needs.
•  Annual Meetings and Spring Meetings: obtaining input from relevant teams, scheduling meetings, coordinating briefing materials, formatting, and proof-reading briefing materials, creating electronic binders for the Director, and relevant team members.
•  Prioritizing and channeling calls and correspondence, monitoring and following-up on issues to ensure completion or resolution, independently responding to extensive and diverse inquiries, making decisions when multiple courses of action are possible, and preparing correspondence on a range of topics on behalf of the Director as needed.
•  Providing support in responding to internal and external requests for information, including urgent requests from the World Bank Group (“WBG”) President office’s, the IFC MD/EVP’s office, the Board and Committee Secretariats, the IFC Global Industries Vice President’s office, other VPs’ offices and Directors reporting to the Global Industries Vice President, as well as communicating with critical external shareholders and the press.
•  Ensuring a smooth flow of information from the Director to staff.
•  Undertaking procurement responsibilities as a transaction processor or TTL.
•  Providing quality control by monitoring documents for accuracy, ensuring adherence to unit and WBG guidelines and procedures, and assisting in editing, formatting, and production of documents and correspondence.
•  Support the Trade and Supply Chain Finance programs operations by assisting the Program Heads, Operations Head, and Regional Heads as needed.
•  Take the lead in preparing the pipeline reports and the regular Board reports (monthly and quarterly).
•  Maintain client contact lists for various Trade and Supply Chain Finance programs.
•  Support reporting for insurers and donors as well as other program participants under Trade and Supply Chain Finance programs.
•  Handling other ad-hoc duties as assigned by the Director, Manager and Heads.

 

Selection Criteria

 

•  A bachelor’s degree with a minimum of 6 years of relevant experience as an Executive Assistant.
•  High level of discretion in dealing with sensitive or highly confidential matters.
•  Experience working under pressure with a demonstrated capacity to multi-task, handle concurrent activities, and establish priorities.
•  Demonstrated excellent administrative, analytical, and organizational skills, with attention to detail, ability to prioritize and work with minimum supervision. Successful previous experience in an Executive Assistant role is an advantage.
•  Sound judgment, proactive attitude, resourcefulness, reliability, and high degree of adaptability.
•  Excellent interpersonal and teamwork skills – ability to effectively deal with staff at all levels.
•  Excellent communication skills in English (both oral and written), with the ability to draft a variety of correspondence, proofread, and edit materials.
•  Proficiency in relevant computer software systems (e.g., MS Office Tools, Webex, Teams, LARS, Travel, etc.) and willingness to learn new programs and applications as needed.
•  Flexibility and willingness to work extended hours at short notice as required.
•  Experience with IFC and/or WB front offices is a plus.
