Description
The Risk & Finance Vice Presidency Unit (CRFVP) helps to ensure that IFC is sufficiently profitable and capitalized to sustain and grow its operations through prudent risk management at the corporate, portfolio, project, and client levels. It sets best practice standards in risk management to drive sustainable private sector development in emerging markets. CRFVP works in partnership with other IFC Vice Presidents to ensure IFC meets its corporate objectives.
Duties and accountabilities
Duties and responsibilities include but are not limited to the following:
• Working with a high level of discretion in providing comprehensive executive assistance in setting and managing priorities and workflow of the Director as necessary, including handling the Director’s schedule, meetings, official functions, and travel arrangements.
• Providing high-quality administrative and logistical support to the Director.
• Synchronizing the Director’s calendar with the Corporate calendar, Board/Committee schedule, and IFC MD’s schedule.
• Independently preparing, coordinating, and monitoring the quality of correspondence on behalf of the Director, and ensuring that relevant background materials, briefs, and binders are available for meetings (including but not limited to IFC corporate committees, Executive Committee, Management Team, and client meetings), deadlines are met, and documents are of high quality and in adherence to administrative and operations guidelines.
• As the first line of contact with an extensive network at the most senior level, both internal and external clients, the Sr. EA is expected to exercise judgment, tact, and diplomacy in dealing with sensitive or highly confidential matters.
• Establishing and maintaining an effective network of contacts, both inside and outside the unit, to ensure effective cooperation in support of office needs.
• Providing leadership, guidance, and on-the-job training to the ACS staff in the department.
• Establish effective working relationships with other Sr EAs reporting to other Vice Presidents and directors.
• Annual Meetings and Spring Meetings: obtaining input from relevant teams, scheduling meetings, coordinating briefing materials, formatting, and proofreading briefing materials, and creating electronic binders for the Director, and relevant team members.
• Retreats and other Director’s special initiatives and events: in coordination with the ACS team and Budget team, managing the logistics of retreats involving the Director.
• Prioritizing and channeling calls and correspondence, monitoring and following up on issues to ensure completion or resolution, independently responding to extensive and diverse inquiries, making decisions when multiple courses of action are possible, and preparing correspondence on a range of topics on behalf of the Vice President as needed.
• Ensuring a smooth flow of information from the Director to staff.
• Undertaking procurement responsibilities as a transaction processor or Task Team Leader.
• Providing quality control by monitoring documents for accuracy, ensuring adherence to unit and WBG guidelines and procedures, and assisting in editing, formatting, and production of documents and correspondence.
• Handling other ad-hoc duties as assigned by the Director.
Selection Criteria
• A minimum of a high school diploma with 10 years of relevant experience or a bachelor’s degree with 5 years of relevant experience as an Executive Assistant.
• High level of discretion in dealing with sensitive or highly confidential matters.
• Experience working under pressure with a demonstrated capacity to multi-task, handle concurrent activities, and establish priorities.
• Demonstrated excellent administrative, analytical, and organizational skills, with attention to detail, the ability to prioritize, and work with minimum supervision.
• Successful previous experience in an Executive Assistant role is an advantage.
• Sound judgment, proactive attitude, resourcefulness, reliability, and a high degree of adaptability.
• Excellent interpersonal and teamwork skills – ability to effectively deal with staff at all levels.
• Excellent communication skills in English (both oral and written), with the ability to draft a variety of correspondence, proofread, and edit materials.
• Proficiency in relevant computer software systems (e.g., MS Office Tools, Webex, Teams, LARS, Travel, etc.) and willingness to learn new programs and applications as needed.
• Flexibility and willingness to work extended hours at short notice as required.
• Experience with IFC and/or WB front offices is a plus.
