JOB PURPOSE

In your role as Senior Executive Coordinator – Engagement, you will be responsible for supporting and coordinating the internal and external engagements of the Secretary General (SG). This includes supporting the planning, coordination, and scheduling of high-level visits, media engagements, conferences and other events. The post holder will help manage internal and external communications related to the engagements. The postholder will provide logistical support and assist with developing, reviewing and tracking budgets. Other tasks may be required from the post holder based on organizational need.

ABOUT YOU

An organized and independent individual with strong interpersonal skills, you will have experience of working in complex, high-paced environments with conflicting priorities and across time zones. You will have project management and coordination experience, and the ability to accomplish tasks with little supervision. Ideally, you will have an understanding of the operations of international NGOs and the many necessities of launching novel projects, organizing international events and coordinating other activities. You will need to be patient, determined and diplomatic with internal and external actors.

MAIN RESPONSIBILITIES

  • Manage, plan and coordinate external engagement activities, including official visits and other work trips, media events, report launches, among other types of events and activities.
  • Track and manage the SG’s external agenda in close collaboration with internal and external stakeholders, including by working with the SG’s executive assistant on calendar and forward planning, and managing invitations, among other tasks.
  • Assist with the planning and coordination of internal engagements.
  • Support the drafting of progress reports to fulfil the IS’s internal and external accountability requirements, including to donors.
  • Contribute to the financial management of the OSG budget related to internal and external engagements.

SKILLS AND EXPERIENCE

  • Ability to design and implement effective systems for tracking schedules, work plans, and priorities for top-level management.
  • Experience working under pressure, managing conflicting demands, meeting deadlines and adjusting priorities.
  • Proven experience synthesising large volumes of information, identifying the key components and briefing a varied audience on these verbally and in writing.
  • A team player with the ability to work with a multi-disciplinary team. Superior interpersonal skills and ability to interact with colleagues in multi-cultural, multi-lingual and complex operational environments.
  • Fluency in written and spoken English and one additional language is required, with French highly preferred.
