JOB PURPOSE

Under the supervision of the Head of the Office of the Secretary General (OSG), this post is responsible for coordinating work in the OSG as prioritised by the Secretary General (SG) and the Deputy Secretary General (DSG), including facilitating decision-making processes and delivering the SG’s critical initiatives. The postholder works in close collaboration with the Head of OSG to support Amnesty’s International Secretariat leadership team (the Coalition Leadership Team or CLT) to ensure that its decision-making is well supported and aligned to organisational priorities and Governance requirements.

In addition, as a member of the OSG Team, the postholder contributes to developing and implementing the team’s strategic priorities and communicating the SG’s messages with key internal audiences. The postholder supports OSG special projects in terms of project management and project work; they also draft written materials for the SG and DSG, including accountability reports and briefings.

ABOUT YOU

As someone with a demonstrated understanding and commitment to human rights, you will be able to exercise sound political judgement, identifying critical issues and making decisions requiring professional discretion. You will have demonstrable experience working with high level executive and governance teams in international organisations. In addition, you will have project management experience, including financial management, and experience of writing reports and communications on behalf of high level executives

You will have excellent communication skills, able to convey complex messages diplomatically to a range of audiences in English. Fluency in a second language is also desirable.

MAIN RESPONSIBILITIES

  • Coordinate the CLT agenda, including proposing strategic and operational agenda items with clear objectives, designing their facilitation and decision-making, and ensuring logistics, such as room booking, agenda management, and minute taking.
  • Ensure strategic and operational synergies between the CLT, Amnesty’s International Board, and IS management agendas in line with organisational priorities.
  • Support IS colleagues to draft CLT agenda papers and attend sessions, ensuring these meet IS quality standards and enable efficient decision-making.
  • In close collaboration with the Head of OSG and the DSG, record and communicate CLT decisions and decision-making processes to IS and Movement colleagues and ensure effective communication strategies to maintaining a clear CLT profile.
  • Undertake project work as agreed with the line manager, including improving decision-making processes and related processes and policies and supporting OSG-led special projects.
  • In close collaboration with the Head of OSG, responsible for the financial management of the OSG budget for core functions and projects, including processing expenses for consultants and project activities, and engaging in IS organisational planning and budgeting.

SKILLS AND EXPERIENCE

  • Substantial experience working with high-level executive and governance teams in large, complex international organisations.
  • Demonstrated ability to understand and align strategic thinking with operational delivery, including identifying opportunities and threats and recommending appropriate courses of action.
  • Proven experience synthesising large volumes of information, identifying the key components and briefing a varied audience on these, practising discretion where appropriate.
  • Demonstrated excellent communication and diplomacy skills, including conveying complex messages concisely and diplomatically to a wide range of audiences in English – verbally and in writing.
  • Ability to set, manage and monitor projects and programme plans and budgets, including designing and implementing effective systems for tracking schedules, work plans, and priorities for top-level management.
